Run the CSU_BAS_EVENT_CLASS_HISTORY_SUMMARY Query

When to Use This Query

  • Query: CSU BAS EVENT CLASS HISTORY SUMMARY
  • Shows the full Ben Admin processing history (including reprocessing) for any BAS event that has gone through the Ben Admin module.

What You Can See

In this query, you can track:

  • Event creation — who created the BAS event and when.
  • Employee activity (if applicable):
    • When the employee first viewed the BAS event in eBenefits ESS.
    • What benefit elections were chosen and submitted.
    • The exact date and time of submission (or see if no elections were submitted).
  • Campus Benefits Office activity:
    • Which benefits were entered by staff.
    • The exact date and time staff keyed the entries.
  • Reprocessing history:
    • Whether the BAS event was reprocessed.
    • Whether benefit elections were changed.

How It Works

  • A row is inserted in the audit table whenever a change occurs to a tracked field that results in a plan type enrollment, waiver, or termination.
  • The BAS_PARTIC.ENROLL_ACTION must equal:
    • E = Elect
    • T = Terminate
  • This query can be found on the CSU Benefits Administrator Tile under the Queries section, and also on Query Manager and Query Viewer. Access to these items is based on your PeopleSoft security definition. To access the CSU Benefits Administrator Tile in CHRS, click on the Home Landing page drop down arrow and then select CSU Administrator Home.
This query only lists rows where specific BAS_PARTIC processing data fields are updated for a BAS event:
  • Schedule ID
  • Employee ID
  • Benefit Record
  • Event ID
  • Plan Type

  • Process Status
  • Process Indicator

Important Notes

  • BAS events that are voided or deleted before a finalized enrollment, waiver, or termination are not included in this query.
    • Example: BAS events deleted by the CSU Delete Activity Guide process (CSU_BAS_ACTP) do not appear here.
  • To audit BAS events that were voided or deleted before finalization, run the AUDIT_CSU_BAPRT audit table query instead.
  • This query can be found on the CSU Benefits Administrator Tile under the Queries section, and also on Query Manager and Query Viewer. Access to these items is based on your PeopleSoft security definition. To access the CSU Benefits Administrator Tile in CHRS, click on the Home Landing page drop down arrow and then select CSU Administrator Home.
  • To access Query Manager or Query Viewer, click on the NavBar Icon
  • Menu > Reporting Tools > Query.

Step 1: To run the query, enter the applicable Schedule ID, the PeopleSoft Employee ID and the Event ID for the applicable BAS event.

  • If you do not have the Event ID, click on the NavBar Icon
  • Menu > Benefits > Manage Automated Enrollment > Events > Update Event Status.
  • Enter the employee ID and locate the Event ID for the applicable BAS event. See the example below showing the Event ID of 2.

Step 2: Click on the View Results button. If the ‘No matching values were found’ message appears, no values were found in the audit table for the employee, which means that the employee did not have a benefits transaction that wrote to the audit table.

Step 3: See the following example query output. Note that you can also download the query results to an Excel Spreadsheet and also a CSV Text File in addition to viewing online. Do not attempt to download the query results to an XML File.

Field Description
Sched ID The BAS Schedule ID tied to the BAS event.
ID The employee’s PeopleSoft ID.
Name The employee’s primary name.
Ben Record The Benefit Record Number. In CHRS, always 0.
Event ID The BAS event ID.
Plan Typ Indicates the benefit Plan Type:
  • 10 = Medical
  • 11 = Dental
  • 14 = Vision
  • 1Y = Dental Flex Cash
  • 1Z = Medical Flex Cash
  • 20, 23 = Life and AD/D
  • 31 = Long Term Disability
  • 60 = Healthcare Reimbursement (HCRA)
  • 61 = Dependent Care Reimbursement (DCRA)
Event Stat BAS event status:
  • O = Open for Processing
  • C = Closed for Processing
  • V = Void
  • D = Disconnected Event
Class The BAS event class (also called BAS Action and Event Class).
Date The BAS event date — either the original event date or an updated date from the nightly submission process (CSU_BA_EV_DT).
Ben Program The employee’s benefit program.
Proc Stat Processing status of the BAS event. Examples:
  • PR = Prepared
  • PE = Prepare Error
  • EE = Election Error
  • ET = Entered (submitted)
  • FE = Finalized-Enrolled
  • FP = Finalized-Prep None
Process Process Indicator for next Ben Admin run:
  • N = Normal Processing
  • V = Void
  • R = Re-enter
  • A = Assign Benefit Program
  • P = Prepare Options
  • E = Elect Options
Address Elig If populated, shows the date the employee’s Home/Work address changed in a way that may affect benefit eligibility. May require reprocessing.
Job Elig If populated, shows the date the employee’s Job Data changed in a way that may affect eligibility. May require reprocessing.
Multi Job Elig If populated, shows the date multiple Job Data records changed (e.g., hire or termination) in a way that may affect eligibility. May require reprocessing.
Event Changed If 'Y,' the BAS event is Out of Sequence due to another event. Reprocessing may be required and benefits may change.
Disconnect Date If populated, the date the BAS event became disconnected.
Changed Date If populated, the date the BAS event went Out of Sequence (when Event Changed = Y). Reprocessing may be required.
Final/Dflt Y = Finalize/Apply Default is enabled.
N = Not enabled.
OptNotDt Date the employee first viewed the BAS event in eBenefits ESS (if applicable).
Enr Action Action taken for a plan type:
  • E = Enroll (also used for Waives)
  • N = None
  • T = Terminate
Covg Elec End result for a plan type:
  • E = Elect (or continue)
  • W = Waive
  • T = Terminate
Cov Bgn If populated, shows the date plan coverage begins or ends, based on Enr Action and Covg Elec.
Ded Begin If populated, shows the date the benefit deduction begins or ends, based on Enr Action and Covg Elec.
Elect Src Source of the election:
  • W = Web (eBenefits ESS)
  • O = Online (manual entry)
    • enrollment came through Perform Election Entry or On Demand Event Maintenance
  • N = None Entered
    • enrollment came through Perform Election Entry or On Demand Event Maintenance
    • common value on Open Enrollment (OE) BAS events when the employee hasn’t submitted any benefit changes.
Elect Dt

The date that the employee first submitted his/her benefit elections in eBenefits ESS. If there’s no date, the BAS event was processed via the Perform Election Entry page or the On Demand Event Maintenance page and not submitted via eBenefits ESS.

Audit Oper ID The PeopleSoft User ID who processed the change in Ben Admin. The Audit Oper ID of CSU_SCHEDUCSU means the nightly batch process (CSUBAS) processed the change. The Audit Oper ID of !NoOper means the change was due to a SQL insert.
Audit Stamp Audit Stamp
Audit Action Indicates if the audit action is a Change - New Value, Change - Old Values, Delete or Add.
Sort Date/Time This column is used to sort the audit data so the most recently added row appears at the top of the list.
