This job aid shows benefits officers how to audit employee benefits enrollment to ensure that dependents and enrollment options are correct
When to use this job aid
Use this job aid only if:
- Your campus is a FULL eBenefits campus.
- You have received the employee's supporting documentation.
- The BAS event is an Employee Self-Service (ESS) BAS event (including NEW).
How to Audit the Employee Benefits Enrollment
Step 1: Open the CSU Benefits Administrator tile
Step 2: Navigate to On-Demand Event Maintenance
- Enroll in Benefits > On-Demand Event Maintenance
Step 3: Enter search criteria and click on search button; If the search returns one result, the On-Demand Event Maintenance page opens; multiple results will provide a list of employees, select an employee record to continue
Step 4: Optional: : If the BAS event to review is not currently displayed, open the applicable BAS event:
- Click Event Status Update.
- Close the currently open BAS Event
- Open the BAS event to review
- Click OK
Step 5: Review the elections
- Review the enrollments made and the dependents selected for coverage for Medical, Dental and Vision benefits.
- Review HCRA and DCRA enrollments, if applicable.
- Compare the new enrollment and changes against the employee’s current benefits enrollments in the Base Benefits tables (Health Benefits and Spending Accounts), if applicable.
What to look for
When auditing the event, watch for these issues:
- Added or deleted dependents that are not appropriate for the event type.
- Example: Divorce events should not allow them to add dependents.
If you find an issue:
- Void the life event.
- Delete the Life Event Activity guide.
- Request that the employee redo the life event in eBenefits Self Service, following your instructions to correct the error.
Correctly exit the On-Demand Event Maintenance page
IMPORTANT: Do not save or finalize the BAS Event in On-Demand Event Maintenance.
Step 1: Click Cancel to exit the Election Entry page.
Step 2: Click Return to Search to close the page.
Ensure that the employee submitted an electronic signature for the BAS event.
- Use the following queries from the CSU Benefits Administrator tile > Queries: - CSU_BAS_ELECTRONIC_ESIGNATURE for ESS life events - CSU_BAS_NEW_NW1_ELECTRONIC_SGN for NEW events
- If you do not find any issues, you can flag the event for finalizing in Update Event Status or Update Processing Controls.
