Run Benefits SCO Interface

Overview

This job aid shows benefits officers how to run the SCO (State Controller's Office) interface.

Background

The SCO interface generates files that list changes to employee's

  • Vision
  • Dental
  • Life AD&D (Accidental Death & Dismemberment)
  • LTD (Long Term Disability)

After you generate the interface file, a benefits officer must send the file to the  State Controller’s Office (SCO) by FTP.

This process must be completed monthly and all files should be transmitted by the 16th of each month.

Run SCO Interface in Preliminary Mode

In preliminary mode, the interface generates logs and reports for you to analyze, but does not generate the files to submit to the SCO. Use preliminary mode to verify the data.

Step 1: From the CSU Administrator Home, click the CSU Benefits Administrator tile.

Step 2: Navigate to Interface with Providers > CSU SCO Interface Process.

Step 3: Enter a Run Control ID

  1. Type your Run Control ID.
  2. Click Search.

If you do not have a Run Control ID, click Add a New Value and then create a new Run Control ID.

  • The CSU SCO Interface page opens.

Step 3: Configure the process to run in Preliminary mode:

  1. Select the Process Plans.
  2. Select your Business Unit.
  3. Confirm the Final Load (Y/N) check box is clear.
  4. Click Save.

You can run all of the process plans at one time, or select one or more, depending on your needs.

Optional: Bypass Employees

You can bypass employees to prevent their records from being sent to the SCO. You might use this feature to avoid sending future or retro changes.

Step 4: Click Run.

  • The Process Scheduler Request page opens.

Step 5: Run the process:

  1. Confirm the process name.
  2. Click OK.

If the Process Name field says "Description," then you do not have authorization to run the process.

Review the SCO Interface files

Step 1: Open Process Monitor if you have access. If you do no have access to Process Monitor, you can view the documents from Report Manager.

Step 2: Click Refresh until the Distribution Status is Posted.

Step 3: For the CSUBAS05 process, click Details

Step 4: Click View Log/Trace

Step 5: Click any of the documents to review the contents.

Step 6: Click Return and then click OK to exit.

* Deduction Type has 4 possible values:

  • 1 = Adding an enrollment
  • 2 = Canceling an enrollment
  • 3 = A change of enrollment (changed vendor, new dependents, etc.)
  • 4 = FERP vision plan

Run the SCO Interface in Final mode

To run the SCO Interface in FINAL mode, follow the same procedure as Run SCO Interface in Preliminary Mode  but change one thing: Select the Final Load check box.

Review the FINAL SCO Interface Files

Step 1: Use the same procedure as Review the SCO Interface files to view the SCO Interface files. When you run in Final Mode, the process creates SCO-deliverable files in addition to the reports.

Step 2: Identify the SCO-deliverable files. The file names to send to the SCO begin with TRN.

Example file name: TRN650B.D011625.PR1300.
