Overview
This article shows Benefits Administrators how to create an OE event for an employee after the OE Schedule has been finalized and CSUBASOE has been inactivated.
Background
Use this process when an employee has a retroactive hire date, retroactive transfer, or becomes benefits-eligible retroactively.
Create an OE BAS Event After Finalization
You can create an OE BAS event for an employee after the Open Enrollment schedule has been finalized and CSUBASOE has been inactivated.
When to use this process:
- Employee has a retroactive hire date
- Employee has a retroactive transfer
- Employee becomes benefits-eligible retroactively
Important notes:
- For Full eBenefits ESS campuses, employees cannot enter elections in eBenefits after open enrollment closes.
- In these cases, the campus Benefits Officer must manually enter and finalize the employee’s OE BAS event elections using On Demand Event Maintenance.
Populate the CSU BAS GROUP ID Assignment
Step 1: Run the CSU BAS Group ID Assignment process on-demand to populate the BAS Group ID field on the Job Data rows for your Open Enrollment population.
- Navigation: NavBar > Benefits > Manage Automated Enrollment > Events > CSU BAS Group ID Assignment
- The page CSU BAS GROUP ID Assignment page opens.
Step 2: On the CSU BAS Group ID Assignment page:
- open enrollment Schedule ID for your campus/business unit.
- Select the Preview checkbox.
- Run the CSU BAS GROUP ID Assignment process in Preview mode first so you can review and confirm that the correct employee population is selected to receive an OE BAS event.
- click the Run button.
- The page Process Scheduler Request page opens.
Step 3: Complete the Process Scheduler Request.
- If able, select PSUNX for Server Name, or leave blank.
- Select the CSU_BGRP_PRC process.
- click the OK button.
You are returned to the CSU BAS GROUP ID Assignment page.
Step 4: Write down the Process Instance number and then
Step 5: Click the Process Monitor link.
- The Process Monitor page opens.
Step 6: Review the Process Results
- In Process Monitor, locate your process on the Process List.
- Click Refresh until the Run Status shows Success.
- If the status is Error, contact your technical support resource before proceeding.
- Click Details > View Log/Trace > BAS Group ID log.
- Review the Preview Report to see which employees qualify for the BAS Group ID assignment based on your campus configuration.
- Note: A Preview Report may return no employees if no one met the criteria.

Step 7: Run in Final Mode
- Rerun the CSU BAS Group ID Assignment process in Final mode (deselect the Preview checkbox).
- Confirm the process completes with a Run Status of Success.
- Verify that the BAS Group ID is assigned to the intended Open Enrollment population.
Create OE BAS Event
After the BAS Group ID field has been populated for your Open Enrollment population, run the PSPBARUN process to create the OE BAS events.
Step 1: Navigate to NavBar > Benefits > Manage Automated Enrollment > Events > Run Automated Event Processing
Step 2: Enter your run control ID
- If you already have a Run Control ID:
- On the Find an Existing Value page, enter your Run Control ID.
- Click Search.
- If you do not have a Run Control ID:
- Select the Add a New Value tab.
- Enter your initials (or another unique value) in the Run Control ID field.
- Click Add.
- The Schedule and Chkpt Restart page opens.
Step 3: Complete Schedule and Chkpt Restart page:
- Enter your open enrollment Schedule ID.
- Select Open Enrollment for the Process Mode field.
- Enter .50 for Chk Point Interval in Minutes.
- Select the Record Eligibility Results checkbox.
- click the Participant List tab.
Step 4: Complete the Participants Lists page:
- Select the Process from Participant List checkbox.
- Enter the EMPLID in the Schedule Only Employee(s) section. click the plus button (+) to add additional EMPLIDs.
- click the OE/Snapshot tab.
Step 5: Complete the OE/Snapshot page:
- Select the Schedule New Participants checkbox.
- Do not select the Finalize/Apply Defaults checkbox when you are scheduling new participants for an OE BAS event.
- click the Run button.
- The Process Scheduler Request page opens.
Step 6: Complete the Process Scheduler Request:
- Enter PSUNX in Server Name or keep the field blank.
- Locate and select the job with the process name PSPBARUN.
- click the OK button.
The run Control page opens, showing the Process Instance number. Note the Process Instance number in case you need it later.
Step 7: Click the Process Monitor link.
Step 8: Monitor the process:
- In Process Monitor, locate the PSPBARUN link on the Process List page.
- Confirm the job completes with a Run Status of Success.
- When processing finishes, click Details to review the job log for any errors.
Step 9: Confirm the employee now has an OE BAS event:
- Go to NavBar > Benefits > Manage Automated Enrollment > Events > On Demand Event Maintenance.
Verify and Finalize the OE BAS Event
Important:
- If the OE BAS event is created after Open Enrollment is finalized or after CSUBASOE is inactivated at a Full eBenefits ESS campus, the employee cannot submit elections through ESS.
- In this case, the Benefits Officer must manually enter and finalize the employee’s OE BAS event elections in On Demand Event Maintenance.
