Overview

This article shows Benefits Officers how to run queries to view which enrollment forms were electronically signed by employees.

Background

When employees update their benefits through NEW, Life, or Open Enrollment self-service, they must electronically sign their enrollment forms. Before you approve the benefit elections for finalization, you need to ensure these forms are signed. You can run a query to review which forms have been electronically signed.

Shows the electronic signature date for the NEW BAS events.

  • Full Self-Service eBenefits campuses run this query as part of their regular process.
  • View-Only campuses do not have NEW events and only use this query when investigating a coordination of benefits issue
CSU_BAS_ELECTRONIC_ESIGNATURE
Shows the electronic signature data for Life Events and Open Enrollment in eBenefits ESS.All campuses *
* For View-Only campuses the results will show "No electronic signature on file"

Where to find the queries

  • CSU Benefits Administrator Tile → Queries
  • Query Manager or Query Viewer (search by query name)

Access depends on your PeopleSoft security setup.

Before you run the query, you must have the Employee ID and the Event ID. If you do not have the Event ID for the NEW BAS event, follow these steps to get it.

Step 1: Click the Navbar button.

Step 2: Navigate to Menu > Benefits > Manage Automated Enrollment > Events > Update Event Status

Step 3: Enter the employee ID and then click Search.

Step 4: Locate the Event ID for the applicable NEW BAS event. See the example below showing the Event ID of 2.

Step 5: Click the View Results button. If the ‘No matching values were found’ message is displayed, no values were found in the audit table for the employee, which means that the employee does not have a benefits transaction that wrote to the audit table.

Locate the queries

Step 1: Click the NavBar Icon.

Step 2: Navigate to Menu > Reporting Tools > Query > Query Viewer.

Step 3: Enter the query name to search for the query.

  • CSU_BAS_NEW_NW1_ELECTRONIC_SGN
  • CSU_BAS_ELECTRONIC_ESIGNATURE

You can search %ELECTRONIC to find both queries.

Step 4: Select Run to HTML.

Before you start: Obtain the Employee ID and the Event ID for the employee's NEW event.

Step 1: To run the CSU_BAS_NEW_NW1_ELECTRONIC_SGN query, enter the

  • Schedule ID
  • Employee ID
  • Event ID
•CSU_BAS_NEW_NW1_ELECTRONIC_SGN fields

Step 3: Review the query output.

Election Source Meaning: 

  • W = Web (through eBenefits ESS)
  • O = Online (via Perform Election Entry or On Demand Event Maintenance)
  • N = None Entered (no enrollment submitted; common for Open Enrollment events with no changes).

Employees that enter in ESS an Event Class of NEW will not have an electronic signature appear until after the event have been finalized by the Benefits Officer. 

You can also download the query results to an Excel Spreadsheet and also a CSV Text File in addition to viewing online. Do not attempt to download the query results to an XML File.
