Overview
Delivered PeopleSoft Benefits Administration (Ben Admin) does not keep a history of how a BAS event was processed. It only stores the current data for that event. Each time a BAS event is reprocessed, the previous details are overwritten. This means delivered Ben Admin does not provide a processing audit trail.
To solve this, CHRS has custom database-level audit tables for both Ben Admin and Base Benefits. These audit tables:
- Record any additions, deletions, or changes to certain Ben Admin and Base Benefits tables.
- Capture the PeopleSoft User ID, along with the date and time of the change.
- Keep a history whenever a BAS event is processed, reprocessed, or changed, and when certain Base Benefits tables are updated.
Benefits of these audit tables include:
- Preserving processing and reprocessing history.
- Creating query-ready, auditable tables that support electronic signatures (e.g., Hire/Newly Benefit Eligible eBenefits Self Service).
- Providing a researchable history to investigate Ben Admin or Base Benefits issues.
- Supporting resolution of enrollment, submission, and open enrollment discrepancies, whether raised by employees, the IRS, CalPERS, or legal reviews.
The contents of these audit tables are purged by a custom purge process 10 years after the audit row is created. The purge process is scheduled to run as a nightly batch process. No campus action is required in order to purge audit table contents or monitor/manage the Benefits audit table purge process.
