Populate the CSU BAS GROUP ID Assignment

This job aid shows Benefits Officers how to Populate the CSU BAS GROUP ID Assignment.

Background

To kick off open enrollment, campuses must run the CSU BAS GROUP ID Assignment process on-demand to populate the BAS GROUP ID field on applicable Job Data rows for your open enrollment employee population.

Populate the CSU BAS Group ID Assignment

Step 1:  Navigate to CSU BAS GROUP ID Assignment

  • Menu > Benefits > Manage Automated Enrollment > Events > CSU BAS GROUP ID Assignment

Step 2:  Search for your run control ID

  • If you do not have a run control ID, open the Add a New Value tab to create one. Otherwise, the CSU BAS Group ID Assignment page opens.

Step 3:  Run the process:

  1. Select your open enrollment schedule ID
  2. Check the Preview check box
  3. Click Run
  • The Preview check box allows you to view a report for you to confirm that the correct population is selected for Open Enrollment.
  • The Process Scheduler Request page opens

Step 4:  Click OK

  • You are returned to the CSU BAS Gropu ID Assignment page.

Step 5:  Write down the Process Instance number.

Step 6:  Click Process Monitor.

  • Process Monitor opens.

Step 7:  Locate your process in the Process List.

Step 8:  Click Refresh until the Distribution Status is Posted.

Step 9:  Click the Details link.

Step 10: On the Process Detail page, click View Log/Trace.

Step 11:  Select the BAS_Group_ID_#####.log file to open it.

Step 12:  Review the report

  • This report shows that one job record will be updated.
  • The CSU BAS GROUP ID Assignment process identifies and lists on the report employees who will receive a BAS Group ID and who also have future-dated Job Data rows. BAS GROUP IDs may change for employees with future-dated job rows

Step 13:  Correct the BAS Group ID configuration, if needed, See Configure BAS Group ID

Step 14:  Run the process in Final Mode

  • To run in Final mode, clear the Preview check box.
  • The BAS GROUP ID that the process sets stays in that field until:
    • The process removes it.
    • The process updates it the following year.
    • A user manually changes it.

Update future-dated employees

The person who initially ran the process to assign the OE BAS Group ID must complete this task.

Step 1: Open Process Monitor.

Step 2: Search for the CSU_BGRP_PRC processes that have run since the start of Open Enrollment.

  1. Enter CSU_BGRP_PRC in the Name field. Do not use the lookup.
  2. Change the number of days so you can see jobs run back to 9/15/25 (for example, if today is 9/23, enter 9 in the Days field).
  3. Click Refresh.

You can also use the Date Range fields (from and to) if you do not want to do the math in your head.

Process Monitor

Step 3: Click Details.

Step 4: On the Process Detail page, click View Log/Trace.

Step 5:  Select the BAS_Group_ID_#####.log file to open it.

Step 6:  Review the process job log. Look for employees who have messages about a future-dated job data row.

Step 7: Navigate to Menu Workforce Administration > Job Information > Job Data.

Step 8 Search for the employee ID with a future-dated job data row.

Step 9: Position on the current row, then click Benefits Program Participation.

Step 10: Confirm that the employee has an OE BAS Group ID for your campus.

Step 11: Position on the future-dated row to determine if it needs the OE BAS Group ID for your campus.

  • If it does, you or your payroll/HR department must update this field using Correct History Mode.
  • The OE BAS event is created the next time the CSUBASOE process runs.

A new Job Data row is not needed to change the BAS Group ID field.
