Overview

This job aid shows Benefits Officers how to configure a BAS group ID and run the process to assign a BAS Group ID to employees.

Background

  • BAS Group ID is a field that, when populated, identifies a specific population to receive an Open Enrollment event or a special benefits enrollment event class.
  • BAS Group ID is assigned by a process.
  • You must configure the process to identify eligible employees and then run the process to assign the BAS Group ID to the appropriate population.
  • Review all configuration options and determine the configuration settings for your campus based on your campus’s requirements.
  • Run the CSU BAS GROUP ID Assignment process on-demand before creating the Open Enrollment or special benefits enrollment event class.
  • The process runs nightly during Open Enrollment period at the start of the CSUBASOE job stream to update newly benefit-eligible employees.

Configure BAS Group ID

In this example, we modify the BAS Group ID for Fullerton to include employees who are active on the payroll.

Step 1:  Navigate to CSU BAS GROUP ID Configuration

  • Menu > Set Up HCM > CSU Product Related Setup >CSU Benefits Setup > CSU BAS GROUP ID Configuration

Step 2:  Search for your BAS Group ID.

  1. Enter your search term.
  2. Click the Correct History check box.
    • Correct History mode is necessary to change the configuration.
  3. Click Search

Step 3: Select your BAS Group ID.

Step 4:  Specify the Effective Date.

Step 5:  Use the arrows or View All link, to find the attribute to modify.

Step 6:  Click the View Details button to change a setting.

Step 7:  Configure the group ID criteria:

  1. Select Eligible to include or Ineligible to exclude from Open Enrollment
  2. Select the value to include

  • A checked box shows that this attribute is used for the BAS Group ID

Step 8 Optional: Click the Plus button to add another criterion.,

Step 9:  Click Save when you are finished with configuration.,

Populate the CSU BAS GROUP ID Assignment

The morning open enrollment starts, run the CSU BAS GROUP ID Assignment process on-demand to populate the BAS GROUP ID field on applicable Job Data rows for your open enrollment employee population.

Step 1:  Navigate to CSU BAS GROUP ID Assignment

  • Menu > Benefits > Manage Automated Enrollment > Events > CSU BAS GROUP ID Assignment

Step 2:  Search for your run control ID

  • If you do not have a run control ID, open the Add a New Value tab to create one. Otherwise, the CSU BAS Group ID Assignment page opens.

Step 3:  Run the process:

  1. Select your open enrollment schedule ID
  2. Check the Preview check box
  3. Click Run
  • The Preview check box allows you to view a report for you to confirm that the correct population is selected for Open Enrollment.
  • The Process Scheduler Request page opens

Step 4:  Click OK

  • You are returned to the CSU BAS Gropu ID Assignment page.

Step 5:  Write down the Process Instance number.

Step 6:  Click Process Monitor.

  • Process Monitor opens.

Step 7:  Locate your process in the Process List.

Step 8:  Click Refresh until the Distribution Status is Posted.

Step 9:  Click the Details link.

Step 10: On the Process Detail page, click View Log/Trace.

Step 11:  Select the BAS_Group_ID_#####.log file to open it.

Step 12:  Review the report

  • This report shows that one job record will be updated.
  • The CSU BAS GROUP ID Assignment process identifies and lists on the report employees who will receive a BAS Group ID and who also have future-dated Job Data rows. BAS GROUP IDs may change for employees with future-dated job rows

Step 13:  Correct the BAS Group ID configuration, if needed, See Configure BAS Group ID

Step 14:  Run the process in Final Mode

  • To run in Final mode, clear the Preview check box.
  • The BAS GROUP ID that the process sets stays in that field until:
    • The process removes it.
    • The process updates it the following year.
    • A user manually changes it.

Result

After the process runs, employees who were identified by the BAS Group ID criteria will have the BAS Group ID field populated in Job Data > Benefit Program Participation.
