Finalize Remaining Open Enrollment Events

Overview

This job aid shows benefits officers how to finalize remaining open enrollment Benefits Administration System (BAS) events after open enrollment period ends.

Background

At the end of the Open Enrollment you need to close out all the remaining open enrollment events for people who did not make changes to their benefit options.

IMPORTANT: Do not finalize remaining open enrollment events until you have confirmed no open enrollments are in an assigned process status. If there are open enrollment events in an assigned process status, prepare the open enrollment event first.

Finalize remaining Open Enrollment events

Step 1:  Navigate to Run Automated Event Processing

  • Menu > Benefits > Manage Automated Enrollment > Events > Run Automated Event Processing

Step 2:  Search for and select a Run Control ID

  • If you do not have a Run Control ID, click Add a New Value to create one.
  • The Schedule and Chkpt Restart page opens.

Step 3:  On the Schedule and Chkpt Restart page, do the following:

  1. Select the Schedule ID to run.
  2. Select the Record Eligibility Results option.
  3. Open the OE/Snapshot tab.,

Step 4:  Select the Finalize/Apply Defaults option

  • IMPORTANT: Do NOT select Schedule New Participants.

Step 5:  Click Run

  • The Process Scheduler Request page opens.

Step 6:  On the Process Scheduler Request page:

  1. Select the server: PSUNX.
  2. Select the Benefits Administration process (PSPBARUN).
  3. Click OK.,

Step 7:  Open the Process Monitor.,

Step 8:   Click Refresh until the Distribution Status is Posted

  • The process can take several minutes to complete.
  • Any process error stops the process.
  • Click Details to ensure there are no errors.
