Update Jobs with Transactional Front End

Overview

This job aid shows HR employees how to update a job with Transactional Front End (TFE).

Background

Transactional Front End (TFE) is a new interface that HR staff can use to create and maintain staff jobs and positions (not students or temporary academic employment).

Change a job

Step 1: On the Manager Self Service Homepage, click CSU Transactional Front End.

Step 2: Click CSU TFE Job Change.

Step 3: Search for the job to change.

Step 4: Select the job to change.

Step 5: Click Create Transaction.

Complete these required fields:

  1. Effective Date
  2. Action
  3. Reason Code
  • You must complete these fields before other fields are editable.

Step 7: Update the New Job Information fields that are changing:

  1. Position Number
  2. Reports To Posn
  3. Standard Hours
  4. FTE
  5. Empl Class
  6. Pay Group
  7. Expected Job End Date
  8. Expected Return Date
New job information fields
  • IMPORTANT: Do not change any fields that are derived from Position data. Change the Position data fields instead. Position data propagates to Job Data.
  • The Job Data section shows the Current Job Information to the right of the New Job Information so you can compare them.
  • Only complete fields that are changing. For example, if the job is changing standard hours from 40 to 30 hours, complete only the Standard Hours or FTE fields.
  • Standard Hours and FTE fields are linked: Changing one changes both.

Step 8: Update the CSU Job section as needed:

  1. PPT Status
  2. Probation Code
  3. Anniversary Code
  4. Retirement Code
  5. AY Dur of Appt
  6. Probation Date
  7. Anniversary Month/Year
  8. Pay Period End Date
  9. Red Circle Date
  10. Empl History Remarks

Step 9: Update the CSU Faculty section as needed:

  1. Sabbatical Elig Month/Year
  2. DIP Eligibility Month/Year
  3. Faculty Fraction
  4. CSU Cumulative FMI Award
  5. FERP Eligibility End Date
  6. SSI Counter
  7. SSI WTU Accum Start Dt

Step 10: Update the Pay Rate section as needed:

  1. New Monthly Rate
  2. Change Amount
  3. Change Percent

Step 11: Optional: Enter a Comment.

Step 12: Optional: Add an Attachment.

Step 13: Click Submit.

Change multiple jobs

You can change multiple jobs simultaneously, but your changes are limited.

Step 1: On the Manager Self Service Homepage, click CSU Transactional Front End.

Step 2: Click CSU TFE Job Change.

Step 3: Search for the job to change.

Step 4: Select the jobs to change.

Step 5: Click Create Transaction.

Step 6: Complete these required fields:

  1. Effective Date
  2. Action
  3. Reason Code

  • You must complete these fields before other fields are editable.
  • The available actions and reasons are limited with multiple records selected.

Step 7: Verify the employee records that you are updating.

  • There are no editable fields for multiple records.

Step 8: Optional: Enter a Comment.

View transaction status for your job requests

If you have requested a job change, you can view the transaction status of your requests.

Step 1: On the Manager Self Service Homepage, click CSU Transactional Front End.

Step 2: Click CSU TFE Job Change.

Step 3: Open the View an Existing Transaction tab.

Step 4: Enter search criteria to find existing transactions.

  • Empl ID
  • Emple Record
  • Date
  • Name
  • Action
  • Reason Code
  • Department
  • Job Code
  • Workflow Status
Search criteria
  • This example shows a search for transactions that were not submitted. If you started a transaction and then saved it as a draft, you can find the transaction by performing this search.

Step 5: Click Search.

  • The page displays the search returns.

Step 7: Optional: Click Select to open the transaction.
