IPEDS Reporting

Overview

This job aid shows you how to generate and view the IPEDS extract.

Background

  • IPEDS: Integrated Postsecondary Education Data System.
  • IPEDS reporting produces a list of faculty data, such as tenure, salaries, workload, and demographics, which are required for federal tracking purposes.
  • There is no “Final” checkbox: The process always runs in Final mode. You can run the data extract and correct data within PeopleSoft as often as needed until there are no errors.
  • The Final IPEDS report must contain zero errors.

Populate the IPEDS staging table

Step 1: Navigate to Run IPEDS Extract to Staging.

  • Menu > Workforce Administration > CSU Workforce Admin Process > CSU IPEDS Reporting > Run IPEDS Extract to Staging

Step 2: Enter your Run Control ID.

  • If you do not have a Run Control ID, click the Add a New Value tab to create one.

Step 3: Click Search.

  • The Run IPEDS Extract to Staging page opens.

Step 4: Select your Business Unit (campus).

Step 5: Click Run.

  • The Process Scheduler Request page opens.

Step 6: Confirm the Extract to IPEDS Data process is selected.

  • IMPORTANT: The process always runs in Final mode, so there is no Final flag or checkbox. You can run the process as many times as necessary to reflect the data accurately.

Step 7: Click OK.

  • The IPEDS staging table is populated.

View the IPEDS Staging table

Step 1: Navigate to IPEDS Extract Staging Table.

  • Menu > Workforce Administration > CSU Workforce Admin Process > CSU IPEDS Reporting > IPEDS Extract Staging Table

Step 2: Review the table.

Confirm:  

  • The Error Flags are all N.
  • Final Load column shows all Y.  
  • The table shows the first 5 rows only. If there are any errors in the data, the Final Load column shows N instead of Y. If this happens, Identify errors, then repopulate the IPEDS staging table.

Identify errors

If there are errors in the data, use this procedure to identify the errors to correct.

Step 1: Navigate to Report Manager.

  • Menu > Reporting Tools > Report Manager

Step 2: Click the CSUHR030 report link.

Step 3: Click to download the CSUHR030 ERROR * .csv file.

Step 4: Open the error file.

  • Use Microsoft Excel or other spreadsheet program of your choice to view the errors.

Step 5: Identify the employee and the reason for the error.

What to do next:

• Correct errors in Job Data or Person Data.

Repopulate the IPEDS Extra Staging Table.

• Review the table to ensure there are no errors.
