Run RTP Reports
Overview
This job aid shows you how to run retention, tenure, promotion (RTP) reports.
Background
- The RTP modification provides the following reports:
Page | Report | Description |
---|---|---|
Review Eligibility | Eligibility Report | Shows faculty employees who are eligible for RTP and their current RTP status. |
Opt out of Promotion | Shows employees who have opted out of promotion. | |
Postponement | Shows postponed promotion reviews and the reason for the postponement. | |
Candidate profile | Shows detailed information about a particular employee, including review details, and up to three actions for that review cycle. | |
Review Status Report | Review Status | Shows faculty, review actions, and review statuses. |
Outstanding Reviews | Shows employees who have reviews that are awaiting approval. | |
RTP Analytics Report | Decisions | Shows colleges and departments that have processed RTP actions, shows which actions were granted and denied. |
Run Review Eligibility reports
- The Review Eligibility report includes multiple layouts.
Step 1: Navigate to Review Eligibility Report.
- Menu > CSU Retention, Tenure, Promo > CSU RTP Reports > Review Eligibility Report.

Step 2: Search for your Run Control ID.
- If you do not have a run control ID, click Add a New Value and then create one.

Step 3: Set Run Control Parameters:
- Select Eligibility Report to run.
- Select the Review Year.
- Optional: Select filters.
IMPORTANT: Select only ONE report to run at a time.
- Eligibility Report – Shows employees who are eligible for selected review actions.
- Opt out of Promotion – Shows employees who have opted out of Promotion.
- Postponement – Shows postponed promotions.
- Candidate Profile – Shows detailed information about an employee.

Step 4: Select Review Actions:
- Review actions:
- Professional Development Plan
- Evaluation of Tenured Faculty
- Promotion
- Retention
- Serving Terminal Year
- Tenure
- Periodic "Mini" Evaluation
The actions that you select depend on the type of report that you select:
- Eligibility Report – Select all review actions.
- Opt out of Promotion – Select Promotion only.
- Postponement – Select Promotion only.
- Candidate Profile – Select all review actions.

Step 5: Optional – Candidate Profile only: Enter the Employee ID.
- If you select Candidate Profile, the page displays the Empl ID field, which must be completed.

Step 6: Click Run to open The Process Scheduler Request.

Step 7: Run the Process Scheduler:
- Select the active Server Name (if available).
- Confirm the process is selected.
- Click OK.

Step 8: Open Process Monitor.

Step 9: Click Refresh until the Distribution Status is Posted.

Step 10: Click Details.

Step 11: Click View Log/Trace.

Step 12: Click the PDF file to download the report.

Run Review Status Report
Step 1: Navigate to Review Status Report.
- Menu > CSU Retention, Tenure, Promo > CSU RTP Reports > Review Status Report.

Step 2: Search for your Run Control ID.
- If you do not have a run control ID, click Add a New Value and then create one.

Step 3: Set Run Control Parameters:
- Select Eligibility Report to run.
- Select the Review Year.
- Optional: Select filters.
- IMPORTANT: Select only ONE report to run at a time.

Step 4: Select all of the review actions for which you want information.
- Review actions:
- Professional Development Plan
- Evaluation of Tenured Faculty
- Promotion
- Retention
- Serving Terminal Year
- Tenure
- Periodic "Mini" Evaluation

Step 5: Click Run to open the Process Scheduler Request.

Step 6: Run the Process Scheduler:
- Select the active Server Name (if available).
- Confirm the process is selected.
- Click OK.

Step 7: Click Refresh until the Distribution Status is Posted.

Step 8: Click Details.

Step 9: Click View Log/Trace.

Step 10: Click the PDF file to download the report.

Run RTP Analytics Report
Step 1: Navigate to RTP Analytics Report.
- Menu > CSU Retention, Tenure, Promo > CSU RTP Reports > RTP Analytics Report.

Step 2: Search for your Run Control ID.
- If you do not have a run control ID, click Add a New Value and then create one.

Step 3: Set Run Control Parameters:
- Select the Review Year.
- Optional: Select Filters.

Step 4: Click Run.
- The Process Scheduler Request opens.

Step 5: Run the Process Scheduler:
- Select the active Server Name (if available).
- Confirm the process is selected.
- Click OK.

Step 6: Click Refresh until the Distribution Status is Posted.

Step 7: Click Details.

Step 8: Click View Log/Trace.

Step 9: Click the PDF file to download the report.
