RTP - Create Department Rollup

Overview

This job aid shows campus administrators how to create the Department Rollup that is used for Retention, Tenure, and Promotion (RTP) processes.

Background

  • The Department Rollup must exist for RTP functionality.
  • RTP uses the most recent Department Rollup. If you have not updated it recently, the system might not reflect the most recent changes to the department structure.
  • Run this procedure annually or after any changes to the department structure to maintain RTP functionality.

View current Department Rollup

Step 1: Click the Navbar button.

Step 2: Navigate to Menu > Set Up HCM > CSU Product Related Setup > CSU Workforce Admin Setup > CSU RTP Dept Rollup > View Department Rollup Current

Step 3: Select your campus SetID.

Step 4: Click Search.

  • The search returns the current CSU RTP Department Rollup.

Step 5: Review the information.

Create Department Rollup

Step 1: Click the Navbar button.

Step 2: Navigate to Menu > Set Up HCM > CSU Product Related Setup > CSU Workforce Admin Setup > CSU RTP Dept Rollup > Create Department Rollup

Step 3: Open the Add a new Value tab.

Step 4: Add a new value:

  1. Enter a Run Control ID.
  2. Enter your campus SetID.
  3. Enter the CSU Year.
  4. Click Add.

  • The Create RTP Department Rollup page opens.

Step 5: Select the tree in the Tree Name field.

Tree Guidelines

  • If you have created a tree specifically for Dept Rollup, then select that tree.
  • You can use your Dept Security tree if:
    • It reflects your organizational hierarchy.
    • It meets the criteria below.
  • The tree must reflect your organizational hierarchy.
  • The tree must have nodes only - no leafs.
  • The tree must have four levels:
    1. Campus
    2. Division
    3. College
    4. Department

Step 6: Click Run.

  • The Process Scheduler Request page opens.

Step 7: Select CSU Department Roll Up.

Step 8: Click OK.

Step 9: Open Process Monitor.

Step 10: Refresh the page until the Distribution Status is Posted.

Step 11: Open the Details.

Step 12: Click View Log/Trace.

Step 13: Review the output file to verify the process ran successfully.

Step 14: Verify the current department rollup. Use the procedure: View current Department Rollup to verify that the rollup was successful.
