Workflow Setup for Transactional Front End (TFE)

This job aid shows campus configuration specialists how to set up Transactional Front End (TFE) approval workflows.

Background

  • Transactional Front End launches an approval workflow for job or position changes.
  • The steps and the approvers are configured on two workflow tables (one for jobs and one for positions).
  • You will set up a workflow for each of the following:
    • TFE job  approvals
    • TFE position approvals
    • ASM (Administrative Services Manager) Approvals

Guidelines

  • You can configure separate workflows for each business unit, action, action reason contingency.
  • The workflow can have up to seven levels excluding the final approver.
  • The final approver is either Human Resources or Faculty Affairs. The final approver is not set up in this table.
  • The ASM Manager Role has a separate setup table.

Users assigned the approval roles must have department security to the depts/employees for their roles.

Configure Job and Position workflows

Job and position workflows are set up using the same procedure - only the navigation is different.

Step 1: Open the Navbar button.

Step 3: Click Add a New Value to create a workflow.

Step 4: Enter new workflow identifiers:

  • Business Unit
  • Action
  • Reason code

If you create a workflow with a blank Reason Code, the workflow becomes the default for when there is no separate action reason.

Step 5: Click Add.

  • The workflow setup page opens.

Step 6: Configure the workflow:

  1. Select the Approval level.
  2. Enter a description.
  3. Select the Approval Type.
  4. (Workflow role only): Select the Role Name.
  5. Click the Plus button to add a new row if needed.

In the preceding screenshot, the first level approver is set up with a Reports-To approval type. The second row is set up with a Workflow Role (specified in the Role Name column). The third level is assigned to an ASM approver.

Step 7: Click Save to save your workflow.

Step 8: Optional - Click Add to add another workflow.

Configure ASM approval workflow

Step 1: Open the Navbar button.

Step 2: Navigate to Menu > Set Up HCM > CSU Product Related Set Up > CSU Workforce Admin Set Up > CSU TFE ASM/Resource Approver

Step 3: Click Add a New Value to create a workflow.

Step 4: Enter new workflow identifiers:

  • Business Unit
  • Department

Step 5: Click Add.

Step 6: Configure the workflow:

  1. Select the Sequence number (1 - 4)
  2. Enter the User ID
  3. Click the Plus button to add more rows if needed.
  • You can add multiple approvers for a department. Only one approval is required by the workflow.
  • The Security Role (for example, CHRXX_WA_TFE_ASM_APPROVER) will need to be assigned to the user’s User ID prior to adding them to this set up table.
  • The Employee added to this table as a Department Approver, must have department security to the employees in that department

Step 7: Click Save to save your workflow.

Step 8: Optional - Click Add to add another workflow.
