This job aid shows you how to complete faculty actions:

Complete a faculty recruit

When hiring new faculty employees, use the CSU Recruit/Termination page to enter the details of their previous experience at other universities, colleges, or schools. Fields with asterisks (*) are required.

Step 1: Navigate to Faculty Recruit/Separation.

Menu > Workforce Administration > CSU Workforce Admin Process > Faculty Recruit/Separation

Step 2: Enter the search criteria and then click Search.

If only one result is returned, the CSU Faculty Action page opens. Otherwise, click one of the returns to open the page.

Step 3: Click the Plus button to insert a new row with an *Effective Date.

Step 4: Select Recruit from the *Faculty Action menu.

Step 5: Enter applicable values in the following fields:

  • Sequence
  • *Agency Code
  • School Code
  • Status
  • Add Credit Toward Probation

Guidelines

  • Effective Date: should match the hire date.
  • Sequence: Use the Sequence field to enter multiple rows on the same Effective Date for an Action.
  • Status: Use this field to change the Effective Status (Active for new hires).
  • Agency Code: Indicates general category of the employee (example: recent graduate).
  • School Code: Indicates the specific school indicated by the Agency code (example: which school the employee graduated from).
  • Add Credit Toward Probation: Use this field to add service credit for recruitments, if applicable. Use your campus process to determine what is appropriate.

Step 6: Click Save.

Complete a faculty termination

You complete terminations on the Faculty Recruit/Termination page. Fields with asterisks (*) are required.

Step 1: In the CSU Faculty Action section, click the Plus button to insert a new row with an *Effective Date.

Step 2: Select Separation from the *Faculty Action menu.

Step 3: Set the *Status to Inactive.

Status: Inactive

Step 4: Enter applicable values in the following fields:

  • Sequence
  • *Agency Code
  • School Code
  • Survey Code

  • Effective date: should match the separation date.
  • Sequence: Use the Sequence field to enter multiple rows on the same Effective Date for an Action.
  • Faculty Separation Survey Code: You can use the Plus button to add multiple values.

Step 5: Click Save.

Set up Faculty Retreat Rights

Step 1: Navigate to Faculty Retreat Rights.

Menu > Workforce Administration > CSU Workforce Admin Process > Faculty Retreat Rights

Step 2: Enter the search criteria and then click Search.

If only one result is returned, the CSU Faculty Action page opens. Otherwise, click one of the returns to open the page.

Step 3: Click the Plus button to insert a new row with an Effective Date.

Step 4: Complete the following fields:

  • *SetID
  • *Department
  • Retreat Rank
  • Comments
Faculty Retreat Rights fields
  • SetID constrains the Department values. Use for the campus to which retreat rights apply.
  • Division and College are calculated automatically when you select a Department.
  • Retreat rank: select the faculty rank appropriate for this employee

 

Step 5: Click Save.
