This job aid shows payroll administrators how to create and maintain absence requests by using the Create and Maintain Absence Requests page.
Background
This page is the PeopleSoft-delivered version of the CSU Create & Maintain Absences tile. It can assist Payroll Administrators with troubleshooting by providing a centralized interface to manage absence requests for one or more employees—from creation and maintenance to approval routing, cancellation, and integration with downstream processes such as forecasting, entitlement adjustments, and payroll. It supports both straightforward full-day requests and more complex scenarios, including partial days, linked events, and overrides.
Search for absence requests
Step 1: Open the Navbar button.
Step 2: Navigate to Menu > Global Payroll & Absence Mgmt > Payee Data > Maintain Absences > Create and Maintain Absence Requests
Step 3: Expand the Search area. Search fields are hidden by default.
Step 4: Enter Search criteria.
Step 5: Click Search.
The search results are displayed.
Step 6: (Optional) If the page does not show the rows you need, scroll to the right to find the navigation arrows to view more rows.
Step 6: Click on these tabs to access the pages.
- Absence Detail Tab – Enter or update core information such as employee ID, absence type, reason, start/end dates, and duration. You can link related absences using the Original Begin Date, view balances, attach documents, and manage status (Saved, Voided, etc.).
- Partial Days Tab – Define partial-day absences, such as half days or specific hours, if allowed for the absence type.
- Additional Information Tab – Capture any user-defined or organization-specific data related to the absence.
- Override Tab – Override standard entitlement or adjustment amounts manually when business rules allow exceptions.
- Process Tab – View system processing information, including pay and entitlement calculation details (mainly for administrators).
- Forecast Tab – Run and review forecasting results to verify available balances and eligibility before submission.
- Comments Tab – Add comments related to an absence request for audit or communication purposes.
- Demographic Tab – Display key employee demographic details to provide context for the request.
