Period Setup

This job aid shows CHRS Operations how to set up periods.

Background

A "period" must be created yearly to define a single or multiple pay periods.

CHRS Operations:

  • Will be responsible for setting up all SCO periods which include MST, POS, STU, and ACD.
  • Will need to follow the standard naming convention as described:
    • All numbers
    • Four-digit year followed by the two-digit month.  
    • Example: 2025-01
  • Will be responsible for setting up campus's academic periods.
  • Will need to follow the standard naming convention as described for academic periods:
    • Mix of numbers and letters and letters
    • Campuses three-character campus indicator, followed by the four-digit year and ending with the two-digit month.  
    • Example: SAC2025-05
  • There will be 12 periods total for each month with a frequency of "M" for the SCO Periods (MST, POS, and STU).
  • There must always be 12 periods for each academic calendar, so you must create "filler" periods for the off months. These "filler" periods must use the associated SCO calendar period dates for any missing dates (begin or end).

Academic Period Setup

Step 1: Click the Navbar button.

Step 2: Navigate to the Periods page (two navigation paths):

  • Menu > Global Payroll & Absence Mgmt > Absence and Payroll Processing > Define Calendars > Periods
  • Menu > Set Up HCM > Product Related > Global Payroll and Absence Mgmt > Framework > Calendars > Periods

Step 3: Click Add New Value from the top right of the page.

Step 4: Enter Period ID.

Remember to use the naming convention.

  • Campuses three-character campus indicator, followed by the four-digit year and ending with the two-digit month.
  • Example: SAC2025-05

Step 5: Click Add.

Step 6: Enter the Period information:

  1. Description using the same value as the Period ID.
  2. Short Description using the same value as the Period ID.
  3. Period Begin Date.
  4. Period End Date.
  5. Frequency must be "M."
  6. Frequency Factor as 12.0000000.

Step 7: Click Save.
