Rehire Students

This job aid shows you how to rehire students by using the CSU Student Rehire page.

IMPORTANT: Do not use the CSU Student Processes for R11 students. Use the Temporary Academic Employment process instead.

Use this procedure to rehire student employees only. For new student employees, use the CSU Student Hire page.

Rehire students

Step 1: On the Manager Self Service page, click the CSU Student Processes tile.

Step 2: Click CSU Student Rehire.

Step 3: Enter search criteria to find students:

  • Business Unit: This is a required field.
  • Termed On or After Date: The date on or after which the student was terminated. Use this field to find students who were terminated within the last 12 months, 18 months, and so on.
  • Student Type: Search for Eligible, Ineligible, or All students.
  • CS TERM: Enter a date within the term.
  • Hourly Rate
  • Department
  • Job Code

Step 4: Select students to rehire.

You can select multiple students or use the Select All link at the bottom of the page.

Step 5: Optional: apply default values to selected students.

  1. Select properties to apply to all selected.
  2. Click Copy Defaults to Selected.

These defaults are copied to the selected students in the search results.

Step 6: Optional: Update the Position number, if necessary.

  • IMPORTANT: Do NOT change the Reports To field. The Reports To field is updated when you update the Position. If the Reports To field is wrong, edit the Position Data.

Step 7: Enter the Effective Date.

Step 8: Enter the Reason for the Rehire action.

Only one reason is available for rehire: REH.

Step 9: Enter the Hourly Rate.

Step 10: Enter the End Date.

Step 11: Review the error message, if any.

Error message: Student Not enrolled in minimum required hours (25112,33)

The error messages that this column displays do not prevent the rehire, but are for information purposes.

Step 12: Click Submit.

  • All selected rows are submitted to Job Data.
  • If any of the Empl IDs turn red, there is an error in processing that you need to address.

Monitor Student Transaction Status

After you submit your changes, you can open the Student Transaction Status page to review the results. You can open the Student Transaction Status page directly from the Rehire Students page, or from the menu.

Step 1: From the Rehire Students page, click Error Page.

Step 2: Enter search criteria:

  1. Business Unit: Your campus. This field is required.
  2. From date
  3. Thru Date
  4. Operid: The Operator ID of the person who ran the transaction.
  5. CHRS ID: CHRS Employee ID
  6. CS Emplid: Campus Solution employee ID
  7. Proc Status: Select the process statuses that you want to see:
    • Error: An error occurred and the data was not loaded.
    • Submitted: the job has been submitted, but not loaded to Job Data yet.
    • Processed: Data was loaded successfully into Job Data.
  8. CSU Trans Type: Select the type of process you want to see: Hire, Rehire, Update, or Terminate.

Step 3: Click Student Employee Search.
