The purpose of this document is to assist campus users with known issues in the Time and Labor module.
Negative hours for payable time that need approval - there is no transaction record at level -1 for this approval process
Known Issues:
Negative hours are generally created when time is deleted from the timesheet rather than replacing the value with a "0". This is in part due to a CSU customization on the manager self-service timesheet that approves payable time if it was submitted by an approver or administrator. This customization does not approve payable time offsets created by Time Admin when time is deleted from the timesheet. Those offsets must be approved in order to adjust the quantity of hours that will be transmitted via PIP.
Current Workarounds:
Try to approve just the negative time on the Approve Payable Time page. If the approver gets the error "there is no transaction record at level -1 for this approval process.", identify the employee(s) experiencing the issue and submit an Optimize ticket. CHRS Operations can use Monitor Approvals to restart the workflow process, allowing the manager to access the Payable Time page and approve the time.
The best way to prevent this issue is to not delete or blank out time on the manager self-service timesheet. Entering a "0" to the timesheet to replace time should create offsets that are approved. The "0" time can be removed from the timesheet after you confirm all of the payable time is approved.
Auto Enrollment does not update all time reporter data rows after mass hire, rehire, or termination processing
Known Issues:
Auto Enrollment does not consistently update all Time Reporter Data (TRD) rows following a large batch of hires, rehires, or terminations. The issue occurs most frequently with rehires and terminations.
This behavior appears to be related to an Oracle bug, with a fix expected in PUM 47. The method used to update Job Data—such as the Student Hire modification or JPM—does not appear to determine the outcome, as some employees within the same batch are processed successfully while others are not.
Current Workarounds:
Submit an Optimize ticket that includes a list of the employees requiring TRD updates and the expected TRD values. CHRS Operations will coordinate with the campus to perform an Excel-to-CI update and create the necessary TRD rows.
