Request to Assign Schedule to a Group

This job aid outlines the steps campus users need to complete to assign a schedule to a group:

  • Create the Dynamic group
  • Request a work schedule assignment

Background

Campuses cannot directly assign work schedules to a group, so they must create the dynamic group and submit a request for the schedule to be assigned to it.

Create the Dynamic Group

Create the dynamic group to assign the work schedule as follows:

  • Create the group based on Job and Time and Labor criteria.
  • Validate that the group members match the defined selection criteria.
  • Add the row security permission list HCDPALL to the Group ID. You will remove this permission after the process is complete.

Request Work Schedule Assignment

Step 1: Open a ServiceNow ticket for CHRS Operations to assign the work schedule to a group.

Step 2: Use the following information to complete your request.

  • Type: Request
  • Category: CMS-CHRS
  • Subcategory:  Time & Labor
  • Ticket Short Description: Assign Schedule to Group (Include Schedule ID)
    • Example: Assign Schedule to Group (Schedule ID: 1.0 M-R 10HRS)
  • Issue Description:
    • The description section should include the following:
    • Time Reporter Group (Dynamic Group)  this is the population of employees that should be updated (Example: Dynamic Group CHSCH01)
    • Work Schedule that should be assigned to the group (Example: Schedule ID 1.0 M-R 10HRS)
    • Effective Date
    • List of employees – a list of employees who will be included in this update

What happens next?

CHRS Operations will assign the work schedule to the Time Reporter Group (dynamic group) that you specified in the ticket.

After the Assign Schedule to Group process has been completed in production, remove HCDPALL row permission from the group.
