Cancel an Appointment
Overview
This job aid shows you how to cancel appointments in the Temporary Academic Employment module.

This flowchart provides a quick reference for deciding how to proceed with cancellation based on whether notification was sent, the appointment was loaded to Job Data, and whether PPT (Personnel Payroll Transaction) was printed.

Notifications
When the transaction is canceled, the system generates a cancellation notification. A cancellation notification is sent by email to the employee, and to the originator of the transaction within the system.
Determine whether notification has been sent
If no notification has been sent, TAE displays a Delete check box.
Step 1: Navigate to My Approval Page.
- Menu > CSU Temp Academic Employment > CSU TAE Approval Workflow > CSU TAE My Approval page
Step 2: Enter Search Criteria to find approvals, then click Search.
- Verify that the Business Unit is correct.
- The search returns appointment candidates that you are authorized to approve.
- You must select an EE Group to see all the relevant fields.
Step 3: Open the Notification tab.
Step 4: Determine whether notification has been sent.
- EE Notif Date is the date that the notification has been sent.
- Acknowledged? indicates whether the employee acknowledged the notice.
- Acknowledged Date inidcates the date of acknowledgment
Step 5: What to do next.
Select the procedure by where the transaction is within the workflow.
Cancel an appointment before notification sent
Use this procedure to cancel an appointment before TAE sends notification.
Step 1: Delete the appointment:
- Check the Delete check box.
- Enter a reason. A reason is required to delete an appointment.
Step 3: Click Save & Submit.
Cancel an appointment after notification sent
- Use this procedure to cancel an appointment after notification is sent, before loading to Job Data.
- This process requires two approvers and two steps. Both steps must be completed to cancel the appointment.
Pushback step
If an appointment notification went out to the employee, you need to push back the workflow to a step prior to the notification step so that the system will send a cancel notification.
Step 1: Open the Approval tab.
Step 2: Click the Pushback lookup to select a prior step in the workflow. Click the look up icon (magnifying glass) to select a step.
Step 3: Click the step number to select the step.
- IMPORTANT: Select a step that is prior to the notification step.
Step 4: Enter the Reason.
- A reason is required for a cancellation.
Step 5: Enter Comments.
- Currently, directions to other approvers must be relayed through the Comments field.
Step 6: Click Save & Submit.
The system reverts the workflow to the specified prior step. That approver will need to cancel the appointment.
Cancellation step
Use this procedure to cancel an appointment when the transaction is pushed back to your approval step.
Step 1: Open the Approval tab.
Step 2: Review the comments field to note the instruction.
Step 3: Open the Appt Data tab.
Step 4: In the Other Action field, select Canceled.
Step 5: Open the Approval tab.
Step 6: Select Approve.
Step 7: Click Save & Submit.
- The appointment is canceled through the approval process.
- A cancellation notification is generated at the correct step.
- Nothing is loaded into Job Data.
Cancel an appointment after loaded to Job Data
If an appointment has loaded to Job Data, but PPT has not been generated, you can cancel the appointment with or without sending a cancellation notice, depending on your campus process
Include cancellation notification
TAE generates a cancellation notification. Use this procedure to cancel the appointment if you want to send a cancellation notice to the employee.
Step 1: Navigate to CSU TAE Appointment Data Entry.
- Menu > CSU Temp Academic Employment > CSU TAE Appointment Data Entry.
Step 2: Enter search criteria to find the appointment.
Step 3: On the Appt Data page, complete these fields:
- Term (AY only)
- Session (AY only)
- Appointment Type
Information: These fields populate the cancellation notification.
Step 4: In the Other Action field, select Canceled.
Step 5: Confirm the Effective Date.
- The effective date must match the original Effective Date of the appointment.
Step 6: Select Ready.
Step 7: Click Save & Submit.
What happens next:
- The approval process starts.
- A cancellation notification is generated at the correct step.
- The final approver confirms the Action/Reason is TER/ERR.
- The transaction loads to Job Data.
- An HR tech must Clean up Job Data

Cancel an appointment after PPT is generated
If PPT is generated, use TAE to cancel the employment. TAE generates a cancellation notice and adds a cancellation row to Job Data.
Step 1: Navigate to CSU TAE Appointment Data Entry.
- Menu > CSU Temp Academic Employment > CSU TAE Appointment Data Entry.
Step 2: Enter search criteria to find the appointment.
Step 3: On the Appt Data page, complete these fields:
- Term (AY only)
- Session (AY only)
- Appointment Type
Information: These fields populate the cancellation notification.
Step 4: In the Other Action field, select Canceled.
Step 5: Confirm the Effective Date.
- The effective date must match the original Effective Date of the appointment.
Step 6: Select Ready.
Step 7: Click Save & Submit.
What happens next:
- The approval process starts.
- A cancellation notification is generated at the correct step.
- Final approver confirms the Action/Reason is TER/CNL.
- The transaction loads to Job Data.
- Clean up Job Data.
Clean up Job Data
Canceled appointment rows can be deleted from Job Data under certain circumstances:
- If there are prior job rows stacked up in Job Data, the appointment and the termination can be deleted.
- If there are no prior job rows stacked up in Job Data, the appointment and the termination rows must be left.
Step 1: Navigate to Job Data.
- Menu > Workforce Administration > Job Information > Job Data
Step 2: Search for and select the employee.
Step 3: Click Include History.
Step 4: Determine whether the job is stacked.
- If job history shows more than 1 of 1 rows, consider the job stacked.
- If job history shows only 1 of 1 rows, consider the job unstacked.
- Delete or add rows to Job Data, as needed.Use the Job Data cleanup decision flow to decide whether to add or delete rows in Job Data.
