Overview
This job aid shows approvers how to approve Temporary Academic Employment (TAE) appointments:
Background
- When a user submits a temporary academic appointment, the appointment must be approved before it is automatically added to Job Data. The approval process is a workflow that is defined by your campus.
- Approvers review the information. Some approvers might be able to update the information before approving. Security for this process is defined by your campus.
- Approvers can also push back the approval to a prior step for revisions.
Revising an appointment (Pushback)

Search for appointments to approve
Step 1 : Navigate to CSU TAE My Approval page.
- Menu > CSU Temp Academic Employment > CSU TAE Approval Workflow > CSU TAE My Approval page
- Alternately, use the Approval Chart tile from the Employee Self-Service Homepage to navigate to this page.
Step 2: Enter Search Criteria to find approvals, then click Search.
- Verify that the Business Unit is correct.
- The search returns appointment candidates that you are authorized to approve.
- You must select an EE Group to see all the relevant fields.
- Currently, you cannot search directly for POIs by employee ID. POIs will be displayed if you search by department.
Interface navigation overview
The CSU TAE My Approval page provides five pages. Each page provides a separate view of the appointment data.
- Click the tabs to open different pages.
- All CSU TAE My Approval pages share the first 13 columns.
Scroll to the right to find these controls:
- Select and order the columns that display for you.
- Export the list to a Microsoft Excel file. The columns shown on the current page are exported to Excel. To export all columns, first display all columns, then export.
Review job history
You can open the appointee’s job history from any page in CSH TAE My Approval page.
Step 1: Click the Empl Stat link on the row you want to view.
Step 2: Review the job information:
- Empl Rcd
- EffDt
- Eff Seq
- Position Nbr
- Business Unit
- Dept ID
- Dept Name
- Job Code
- Job Code Desc
- Pay Status
- Action
- Reason
- Fraction
- WTU
- FTE
- Expected Job End Date
Step 3: Click Return when you are finished.
Approve an appointment
- IMPORTANT: If you are the final approver, stop here and instead use the Final Approver Step job aid.
Step 1: Click the Approval tab.
Step 2: Review the information on the Approval page.
- Appt Nbr
- Step/Level
- Approve?
- Comments
- Delete?
- Pushback?
- Reason
- Last Approval By
- Last Approval Date
The first 12 columns are common to all pages. Scroll to the right to see these columns.
- Appt Nbr: An internal number that is related to the workflow.
- Step/Level: The current step number in the workflow.
- Approve?: Check the box to approve this appointment.
- Comments: Optionally add comments for other approvers to see.
- Delete?: Delete this appointment. See the Cancel an Appointment for instructions. This option is not available after the appointment notification has been sent.
- Pushback?: Check this box to send the appointment back to a previous workflow step for revision or to cancel the appointment.
- For revisions: See Revise a TAE Appointment job aid.
- For cancelations: See Cancel an Appointment job aid.
- Reason: Enter your reason for pushback or deletion. This field shows only when the pushback or delete box is checked.
- Last Approval By: Shows the person who last approved this appointment.
- Last Approval Date: Shows the date of the last approval.
Step 3: To approve an appointment, click Approve check box for that row.,
Step 4: Click Save & Submit.
The system routes the approval to the next person in the workflow. If you are the last person in the workflow, the appointment information populates the Job Data table.
Optional: Update fields
Depending on your security, you might have permission to update fields before you approve.
- IMPORTANT: If you edit a field before approving, it is an update. If you use the pushback option, it is a revision.
- You can determine whether a notification was sent from the Notification tab.
- If the appointment notification has been sent, do not update fields: Push back the transaction for revision instead.
