Bulk Offers

This job aid shows recruiters how to bulk move applications to the offer step.

Before you start

Ensure that your popup blocker is disabled.

Optional: Gather job information

Before you manage your applications, you need to get two values from the Job Card that you will need when you complete the Offer Cards:

  • Reports to Supervisor Name
  • Job Code
  • If you already know these two values, skip to Bulk move applications.
  • Navigate to My Jobs.
    • Jobs > My Jobs
    • Select a job.
  • Click View job.
    • The Job Card opens.
  • Find the Job Code.
  • Find the Reports to Supervisor.
    • Find this field in the Users and Approvals section, near the bottom of the page.

Bulk move applications

  • Navigate to Manage Applications.
    • Applications > Manage Applications.
  • Alternate navigation: From the Job Card, click View applications to see the applications for this job.
  • If the applications are not displayed, search for applications:
    1. Enter search criteria.
    2. Optional: Click the Plus button to show other criteria.
    3. Click Search.
  • The Results tab displays the applications.
  • On the Manage Applications page, select the applicants that you want to move to the Offer stage.
  • From the bulk action menu, select Bulk Move.
  • Select the application status that corresponds to Offer Extension.
  1. Click Next.
  • Enter offer details:
    1. Start date
    2. End date (if you have one)
    3. FTE
    4. Base Rate
    5. Unit Basis
    6. Offer type
    7. Pay group
    8. Offer Approval type
    9. New starter form
    10. Onboarding portal
    11. Onboarding workflow
  • These offer details are common for all of the offers on the list.
  • Use either FTE or Faculty FTE Numerator and Faculty FTE Denominator if you are hiring faculty and need to use a fraction value.
  • Click Move now.
    • This button is at the bottom of the page.
  • Click Start.
  • Find the applicants that are in the status that you just moved them to.
    • One way is to use the application status as a search filter

Review and complete offer cards

Review the Offer Card to ensure the values are correct. The Offer Card has some values that have been been pre-populated, but you must carefully review and complete the Offer Card yourself.

  • Click the name of the applicant.
  • Click Offer incomplete.
    • The Offer Card opens.
  • Complete the Offer Card.
    • Use the job code and Reports to Supervisor values that you got from reviewing job information.
  • For instructions on completing the Offer Card, see the Offers Recruiting Guide.
  • On the Offer Card, click Merge document.
    • This button is in the Offer documents section.
  • Click OK to save the document.
    • The Offer Card values are saved. These values will populate the Offer Letter.
    • A popup window opens for you to select the document template
  • Expand the folder, if needed, then select the document template.
  • Click Merge.
    • The Offer Letter is merged and attached to the offer.
  • View the Offer Letter to ensure the information is accurate.
  • In the Approval Process – Campus section, select the Approval process.
  • Select approvers for any fields that are blank.
    • Use the Search function (magnifying glass) to search for approvers.

Click Submit.
