Work with Talent Pools

This guide shows you how to use talent pools to organize and find applicants based on their qualifications and other criteria.

  • As you review new applicants, you can assign them to talent pools and categories/tags.
  • When a job opens, you can use Talent Search to find qualified applicants. Talent Search is a way for you to find qualified applicants within the system. You need to add them to talent pools in order to find them with Talent Search.
  • You can use Talent Search to organize applicants into groups.
  • After the candidates are grouped, you can perform bulk actions, using the colored check boxes, such as inviting them to apply for the job.

Add an Applicant to a Talent Pool

You can add applicants to talent pools to organize applicants for future searches. You can add an applicant individually to a talent pool from their Applicant card.

  • Click the applicant’s name to open the Applicant card.
  • Open the CRM of the Applicant Card.
  • Click the menu to select a Talent pool. Selected talent pools are displayed to the right of the selection field.
  • Optionally add categories or tags to further define the applicant.

View Talent Pools option

An alternative method to add applicants to a Talent Pool is by moving the applicants into a status with View Talent Pools enabled. The View Talent Pools option must be enabled on the application status by campus administrators. Campus recruitment processes vary. If this option is not enabled, you must add applicants to talent pools from their applicant cards.

Talent pool is one of many filters that you can use to find qualified applicants for a job. With talent search, you can filter applicants based on the following criteria:

  • Talent pools
  • Categories and tags
  • Locations
  • Most recent communication
  • Other qualifications

How to Use Talent Search Filters

  • From the Main Menu, click Talent search.
  • Select a talent pool. You can start typing in the field, or click View all to select talent pools from a list.
  • To narrow your search, you can also use the search functions listed in the Information column.
  • For most fields, you can type into the field and then select the applicable value from a list.
  • The search automatically updates when you enter new criteria.
    • City: Type a city and then select the location from the list.
    • You can then select applicants who live within a radius set by the slider.

 

  • Country: Add a country to the filter list.
  • Categories/Tags: Add any categories or tags to the list.
  • Flags: Select the flag to filter on.
  • Latest status: Specify the most recent status update for the applicant, not specific to a job.
  • Employment status: Select from Never employed, current employee, previous employee.
  • Last communication: Use the slider to filter applicants by last communication time.

 

  • Occupation: You can type or click View all to see a list of occupations in the talent pool.
  • Qualification: PhD, Masters, Associates degree.
  • Institution: Select the institution from which the applicant graduated.
  • Active: An applicant’s activity status is displayed on their Applicant card by the indicator: Green is active, while grey is inactive. Inactivity occurs when there is no status change from the applicant’s end for some period of time. The following graphic shows the active status indicators, and their meanings.
  • Optionally, you can click Submit to save the search. Saving the search provides the following options:
    • Name the search
    • Receive daily emails when new applicants fit the search
    • Share the search.
Talent Search Guidelines
  • You can see only talent pools that are accessible to your team.
  • When you click an empty field, you see only values that are within the currently displayed talent list. For example, when you view all applicants, you can see the Institution field values for the entire set of applicants. If you narrow the list down to two applicants, this same field displays only two institutions to choose from.
  • You can click View all to see all of the values and select them.
  • When searching within the same filter, the search uses OR. For example, if you add two categories to your search, it will look for people in category A OR category B.
  • When searching with multiple filters, the search uses AND. For example, if you have one category and one talent pool, it will look for people in category A AND in talent pool A.
  • All filters are shown at the top of the filter area. You can easily remove filters by clicking the x.
  • Click Reset to clear the search and start over.

How to Organize Search Results

You have used Talent Search and are viewing the results. Talent Search provides green, yellow, or red groupings for you to organize the search results. and then take actions on each group. For example, you might want to invite the applicants to a screening event or to apply for a job.

The colors are arbitrary and have no meaning within the system. Use the colors to group applicants into different sets before performing bulk activities.

  • For each applicant, select their green, yellow, or red check box.
    • The applicant’s title bar changes to reflect your color choice.
    • The number on each colored tab indicates the number of applicants in each color.
  • Select the colored tab of the applicants that you want to update. All applicants of that color are displayed on the tab and are selected.
  1. Click Select a bulk action to complete an action against the currently selected applicants.
    • The available Bulk Actions are described in the information column. Bulk categorize – Add a category to the applicants
      • Bulk apply – apply the applicants to a job
      • Bulk assign to talent pool – add applicants to a talent pool
      • Bulk communicate – send a bulk communication to the applicants
      • Bulk send e-Zine – send an e-Zine to the applicants
      • Bulk invite to apply - send an invitation to apply to a job
      • Bulk task/reminder – create and send a task to the applicants
      • Bulk compile and send – create a PDF file that includes the applicant’s application information and other documentation
      • Bulk update CRM status – change the CRM status on applicants to Lead, Qualified Lead, Prospect, or Qualified Prospect.
