Work with Interview Guides

This guide shows you how to use Interview Guides during the recruitment process. Interview guides provide a consistent structure for interviews to ensure that all applicants have a similar experience.

You can print out interview guides to take to interviews, but in many cases, interviews occur over the phone, in which case you can enter the applicant’s responses into the form while you are talking to the applicant on the phone.

Users can later review the applicant’s responses.

Add an Interview Guide to a Job

After the job requisition is created, you can add an interview guide to it. You can use one of the existing interview guides from the library if it is applicable to the job. You can also copy an existing guide and edit it, or create a new guide for the job.

Select an Existing Interview Guide for a Job

  • Open the job requisition in the CHRS Recruiting system.
  • Click the Documents tab.
  • From the menu select Interview Guide.
  • Click the Select existing interview guides from library option.
  • Expand any nodes necessary to find the appropriate interview guide.
  • Select the guide and then click Add.
    • The guide is added to the job. You can optionally view, download or remove the guide.
  • Click Submit & Exit.

Create an Interview Guide for a Job

Recruiters can create interview guides from the job requisition or from the Manage Forms page. In this guide, you learn how to create an interview guide from the job requisition.

  • Open the job requisition.
  • Click the Documents tab.
  • From the menu select Interview Guide.
  • Select the Create a new interview guide for this job option.
  • Click Next.
  • Enter a Name for the interview guide.
  • Select the Interview type, for example: Phone screen.
  • Select the Interview guide template.
  • From the Competency library, expand the nodes and then click Add to add competency questions to the interview guide.
    • Added questions are shown in the Selected competencies pane.
  • Click Save.

Use an Interview Guide to Record Applicant Responses

During interview time, you can access the interview guide while you are talking to your applicant on the telephone. You can then note their answers directly into the form. Alternately, you can print out the form for a live interview and then access the guide online to enter the applicant’s responses later. The guide and the answers are then saved in the applicant’s profile where they can be reviewed later.

  • Open the Applicant Card in the CHRS Recruiting system.
  • Click More Actions > New Form.
  • In the Interview guide library section, select the interview guide that is attached to this job.
  • Click Next. An editable version of the guide opens.
  • Conduct your interview, recording the applicant’s answers in the interview guide. You can also add your own comments where appropriate.

Review an Applicant’s Interview Answers

You can view the applicant’s answers to the interview questions any time during the recruiting process after the interview.

  • Open the Applicant card.
  • Open the History tab and locate the interview.
  • Click View.
  • The interview record opens, showing the questions, the applicant’s answers, and the score (if applicable).
  • You can optionally print the interview guide.
