This guide shows you how to close a job in the CHRS Recruiting system properly so that applicants and agencies all receive proper notification.
When a job is filled or canceled, you must close the job in the system. Closing the job has the following effects:
- The job is removed from open recruiting.
- The job is removed from the Recruiter Dashboard.
- The job status changes to either Filled or Canceled.
- The Time to fill clock stops.
When you close a job, you must also complete the following tasks in order to update interested parties and to maintain system accuracy:
- Notify applicants.
- Notify agencies.
- Move applications to a non-current application status.
Close a Job
Closing a job is more than changing the job status. When you close the job by using the Close button, you are prompted to send notifications and a hiring manager survey.
- In the CHRS Recruiting system, open the Main Menu.
- Click Manage jobs.

- Find the job, then click the Close job button at the far right of the row
- You might need to scroll to the right or expand your window to see the button.
- The Job closing page opens.
- On the Job closing page, select a status to move the job to (Filled, or Cancelled).

- If the Reason for canceling position field is displayed, select a response.

- If the job has applicants, click Manage applications.
- The Manage applications page opens.
- On the Manage applications page, add a check mark to all remaining applicants and then select Bulk move from the bulk actions menu.

- Move the applications to status: Removed. (Your campus might use a different status, depending on the recruitment process you are using.)

- Click Next. The Communication page opens.
- Edit the outgoing email to the applicants.

- Specify a reason for the status change.

- When the move is complete, you are returned to the Job closing page.
- Optionally send a job feedback survey request to the hiring manager.
- If you were using an agency to post the job, edit the email to the agency.
- Click Save. The job is closed.

Guidelines
- Do not close the job by directly changing the Recruitment Status from the job requisition.
- This status change does not prompt you to send notifications to applicants or agencies.
- You can find closed jobs by using the All or Non current recruitment status filters on the Manage jobs page.
