Overview

This job aid shows you how to review and acknowledge your temporary academic employment appointment notice.

Review and acknowledge your Appointment Notification

IMPORTANT: For the best results, use Chrome or Edge browser to access your appointment notification.

Step 1: On the Employee Self Service Homepage, click the CSU TAE Appt Notice tile.

Step 2: Review the appointment details.

Step 3: Click Review Appt Notice.

  • You cannot acknowledge the notice until you have reviewed it.

Step 4: Review the appointment notice.

Appointment notice letter. This one has the word Revised at the top.

Step 5: Click to follow all links in the appointment notice.

  • These links provide additional information that you should know.

Step 6: 12-month appointments only:

  • Locate and follow the Article 34 hyperlink.
  • Currently, the hyperlink on the appointment notification for Article 34 shows as regular black text, but it functions as a hyperlink unless it is broken across two pages.
  • If the link is broken across two pages, copy and paste the link into the address bar of a web browser.
Twelve-month positions are eligible for vacation on a pro rata basis depending on time base of appointment. For more information: https://www.calstate.edu/csu-system/faculty-staff/labor-and-employee-relations/Documents/unit3-cfa/article34.pdf. The hyperlink is in black font without underlining.

Step 7: Close the appointment notice browser tab.

Step 8: Click the Acknowledge check box.

  • After you acknowledge, the check box is checked and the appointment notification moves to the Reprint Old Notice tab.
  • If you have multiple appointments with the same appointment number, you will receive multiple copies of the appointment notification. When you acknowledge one, the system automatically acknowledges the others.

Multiple jobs

IMPORTANT: Complete this procedure if you are employed or plan to be employed in any other capacity at a CSU Campus.

 

Step 1: Click the Yes check box to open the Concurrent and Additional Employment table.

Step 2: Review the existing information.

Step 3: If an appointment is not listed, click the Plus button to add a row.

Step 4: Complete the fields:

  • CSU Campus
  • Dept ID
  • Job title
  • WTU/Hour
  • Expected Start Date
  • End Date
  • Comments

If you are entering an appointment and the Campus Business Unit is not available to select, enter the appointment information in the comments section. Comments field: Comments remain until they are deleted.

Concurrent and Additional employment fields (left side) are listed in Action column of this table.

Reprint old notices

Use this procedure to review and reprint appointment notices that have already been processed.

Step 1: Open the Reprint Old Notice tab.

Step 2: Find the appointment notice to reprint.

  • The Status column is blank unless the appointment has been revised or canceled.
  • If you are unable to locate an appointment notification, reach out to the appropriate department to obtain a copy.

Step 3:  Click the Reprint button.

View your course assignments

  • Use the Course Assignments tab to see which courses are assigned to you.
  • The Course Assignments tab shows only the courses for the campus through which you logged in to CHRS.
  • Check the number units, number students.
  • If the information is not accurate, reach out to the appropriate department.
