Overview

This job aid shows employees, managers, payroll, and timekeepers how to calculate truncated vacation.

Background

  • Vacation earned beyond the vacation maximum is truncated.
  • Vacation is truncated only at the end of the calendar year. During the year, the cap is not enforced.
  • Truncated vacation time is not displayed directly in CHRS.
  • You can calculate your truncated vacation time:
    • Truncated Hours = Previous Balance + Earned – Maximum
    • You can get your previous Balance and Earned from the Absence Balance Inquiry Details page.
    • You get your Maximum vacation number from the Graduated Vacation Chart.

Open the Absence Balance Inquiry page

Navigation to the Absence Balance Inquiry page depends on your role. Use one of the following job aids to navigate to the page.

View the Graduated Vacation Chart

The Graduated Vacation Chart shows your vacation cap. You will need this information for your calculations.

Step 1: On the Absence Balance Inquiry page, click the Graduated Vacation Chart link.

Step 2: Find your max vacation based on your bargaining unit or classification and number of years of service.

Step 3: Click Return to go back to the Absence Balance Inquiry page.

View Absence Balance Details

To see the previous balance, Earned, and current balance, you need to open the Balance Details.

Step 1: From the Absence Balance Inquiry page, click the Details link.

  • You might need to scroll to the right to see the Details link.

Step 2: Note these three values:

  1. Previous Balance
  2. Earned
  3. Balance
    • The balance shown is before the vacation time is truncated.

Calculate Truncated Vacation hours

To calculate the truncated or forfeited vacation hours, use the following equation:

Truncated Hours = Previous Balance + Earned – Maximum.

Example: Roger is a C99 employee with over 10 years of service. He has a previous balance of 488 vacation hours, and he earned 16 hours.
