CHRS Module Review Instructions

Objective

Each campus will facilitate a self-paced review of the CHRS Module Overviews for Workforce Administration (WA), Time and Labor/Absence Management (TL/AM) and Temporary Academic Employment (TAE) along with CHRS documentation for other modules to:

  1. Understand CHRS functionality
  2. Configure the system and prepare for Pass A testing
  3. Prepare for CHRS Change Management activities - Change Impact Analysis (CIA)

The campus Security Administrator will work with their campus Module Leads and Subject Matter Experts (SMEs) to define security for the campus. In addition, campus Module Leads will be given access to review pages and configure / setup workflow in their CNX instance.

Module Reviews

Recorded Training Materials

  • Recorded videos are available in the CHRS Knowledge Base.
  • These videos provide an overview of CHRS functionality for each module, including:
    • Major configuration changes.
    • Baseline changes from PeopleSoft 9.0 to 9.2.

Using the Module Reviews Template

  • Each campus must use the “Module Reviews” Smartsheet template in their workspace.
  • The template should be used to:
    • Complete assigned tasks.
    • Track progress.
  • Field definitions are provided in the header of the template.

Additional Configuration Documents

  • Some modules have extra configuration documents available, such as:
    • Temporary Academic Employment (TAE)
    • Transactional Front End (TFE)
    • Student Modification
  • Campuses should also reference their Project Definition Document (PDD) to guide their review, based on functionality identified for their implementation.
  • Configuration is a prerequisite for testing in Pass A.
  • Note: TAE business process and configuration discussions will be led by CHRS SuperUser, Jen Myers.

Change Impact Analysis (CIA)

  • Each campus must complete the CIA template during pre-implementation.
  • This work is led by the campus Change Manager.
  • Completing the Module Reviews will provide input for the CIA.
  • Business process decisions will be addressed during CIA meetings, also led by the Change Manager.

Configuration Review Sessions

Campuses must complete all tasks in the Module Reviews template before meeting with CMS to ensure they are well-prepared and informed about the system. Each campus will have the opportunity to meet with a CMS Business Systems Analyst to:

  • Review CHRS configuration options,
  • Share their proposed setup, and
  • Discuss any outstanding questions.

Decision Meeting with Prior Waves

During the campus Module Reviews, the project manager or their designee should record any questions in the “Campus Notes” column of the Module Reviews template. These questions will be addressed during the decision meetings scheduled with prior waves..

Roles and Responsibilities

Attendees Required / Optional Role & Responsibility
Campus Project Manager Required Owner - Schedules and facilitate completion of Module Review Sessions (users can watch independently and come together as a group for discussions).
Take notes and records questions within the campus Module Review template.
May delegate responsibility to the Change Manager and / or Campus Module Leads.
Campus Change Manager Required Participant - attends Module Reviews to obtain an understanding of CHRS functionality; in partnership with Project Manager and/or Campus Module Lead coordinates Change Impact Analysis (CIA) activity once Module Reviews are complete.
Campus Module Leads Required Participant - obtains understanding of CHRS functionality and assesses impacts to campus. Partners with campus Change Manager to complete CIA activities.
Campus SMEs Required Participant - obtains understanding of CHRS functionality; analyzes changes in campus business process and communicates impacts to Change Manager or Module Lead for CIA activities.
CO Project Manager Optional Support - works with campus Project Manager to address and resolve questions, issues, etc. related to completing campus Module Reviews
CO Change Manager Optional Support - partners with campus Change Manager and Project Manager to support completion of campus CIA activity.

Summary

Throughout the Pre-Implementation phase, the campus Project Manager and Change Manager will meet with CHRS teams, both individually and in joint sessions with other campuses in the wave. These meetings provide an opportunity to share progress, ask questions, and resolve issues.

As Pass A approaches, the campus will receive a Configuration Workbook. This workbook will:

  • Provide recommendations for configuration options based on CHRS teams’ experience with prior waves.
  • Include instructions on naming conventions.
  • Explain how to document configuration for data to be migrated or keyed for each Pass-MTP.
