Create Benefits History PRIOR TO the Ben Admin Start Date And Prior to the Oldest EFFDT Row
Use this process when:
- You need to add Benefits data into CHRS, and
- The Benefits data effective date is earlier than both:
- the CHRS Ben Admin Start Date, AND
- the oldest Base Benefit EFFDT row.
Step 1: Open the Base Benefits Page
- Navigate to:
- Benefits > Enroll in Benefits > Health Benefits / Spending Accounts / Life and AD/D Benefits / Disability Benefits.
- Enter the EMPL ID, select Correct History, and click Search.
Step 2: Capture Original Data
- Take a screenshot of the oldest row on the page.
- If there are associated permitting event codes, screenshot those as well.
- Save all screenshots for reference.
Step 3: Overwrite the Oldest Row
- In Correct History mode, overwrite the oldest row with the new data you need to create.
- If applicable, add the permitting event code(s) on the CSU Perm Event page.
Step 4: Recreate the Overwritten Row
- Using your saved screenshots:
- Click the Plus (+) icon to insert a new row.
- Re-enter the original row you overwrote, including the correct enrollment date.
- Add permitting event code(s), if applicable, on the CSU Perm Event page.
Step 5: Save and Verify
- Review your entries carefully.
- Save the record.
Step 6: Reprocess BAS Events
- Navigate to: On Demand Event Maintenance.
- Enter the EMPL ID, click Search, and select the employee.
- Reprocess the employee’s BAS events in the correct order:
- Start with the SNP BAS event created from the Ben Admin Conversion process.
- Follow the correct processing order outlined in:

Step 7: Final Review
- Verify the finalized enrollments on the appropriate Base Benefits pages:
- Health Benefits
- Spending Accounts
- Life and AD/D Benefits
- Disability Benefits
- Or confirm via the CSU Benefits Summary page.
Key Reminders
- Always screenshot the oldest row before overwriting.
- Recreate overwritten rows exactly as they were.
- Reprocess BAS events in the correct order to ensure accuracy.
Create Benefits History PRIOR TO the Ben Admin Start Date But Not Prior to the Oldest EFFDT Row

- You need to add Benefits data into CHRS for an employee, AND
- The Benefits data effective date is:
- Earlier than the CHRS Ben Admin Start Date, AND
- Before the oldest Base Benefit EFFDT row.
Step 1: Open Base Benefits Page
- Navigate to: Benefits > Enroll in Benefits > Health Benefits / Spending Accounts / Life and AD/D Benefits / Disability Benefits.
- Enter the EMPL ID, check Correct History, then click Search.
Step 2: Insert New Row
- In Correct History mode, position between the applicable rows.
- Click the Plus (+) icon to insert a new row.
- Enter the correct benefits enrollment date.
- If applicable, add the permitting event code(s) on the CSU Perm Event page.
- Review your data and Save.
Step 3: Reprocess BAS Events
- Navigate to: On Demand Event Maintenance.
- Enter the EMPL ID, click Search, and select the employee.
- Reprocess the employee’s existing BAS events, starting with the SNP BAS event from the Ben Admin Conversion process.

Step 4: Final Review
- Verify the finalized enrollments on the applicable Base Benefits pages:
- Health Benefits
- Spending Accounts
- Life and AD/D Benefits
- Disability Benefits
- Or confirm via the CSU Benefits Summary page.
Key Reminders
- Always use Correct History when inserting older data rows.
- Reprocess BAS events in the correct sequence to avoid errors.
- Confirm final enrollment results in both Base Benefits and the CSU Benefits Summary page.
Update an Existing Base Benefits Row Other than the SNP Row Where the EFFDT is Equal to or Greater Than the Ben Admin Start Date and BAS Event Does Not Exist
Use this process when:
- You need to update an existing Base Benefits row in CHRS (not the enrollments associated with the SNP BAS event).
- The Benefits data effective date is equal to or greater than the CHRS Ben Admin Start Date.
- Example: A future-dated Open Enrollment election (from 9.0) that later needs reprocessing in CHRS due to a life event (marriage, divorce, birth, adoption, etc.).
Step 1: Review BAS Activity
- Go to Review BAS Activity.
- Ensure you are positioned on the correct Business Unit.
Step 2: Add HBE BAS Event
- Insert a new row and add an HBE BAS Event.
- Set the Event Date = Coverage Begin Date row in Base Benefits.
- ⚠️ For HCRA/DCRA enrollments, the Coverage Begin Date = 1 month after the HBE Event Date.
- Click Save.
Step 3: Process the HBE Event
- Go to On Demand Event Maintenance.
- Enter the EMPL ID, click Search, and select the employee.
- Locate the newly created HBE BAS Event.
- Click Schedule/Prepare Activity.
- The event is assigned your campus’s Event Maintenance Schedule ID.
- Status should change to Prepared.
Step 4: Enter Election Changes
- Click Election Entry.
- Make the necessary enrollment changes.
- Add permitting event code(s) if applicable.
- Select the Finalize/Apply Defaults checkbox.
- Click Validate/Finalize.
Step 5: Review Results
- Verify finalized enrollments in the applicable Base Benefits pages:
- Health Benefits
- Spending Accounts
- Life and AD/D Benefits
- Disability Benefits
- Or confirm via the CSU Benefits Summary page.
Key Reminders
- Use HBE BAS Events for post–Ben Admin Start Date updates.
- Always confirm you’re working in the correct Business Unit.
- HCRA/DCRA enrollments use a Coverage Begin Date one month later than the event date.
