Process Overview

The CSU Student Modification User Guide will assist the user through the daily tasks that are required to process student hire, add concurrent job and multiple changes to Job Data.

The primary goal of the Student Mod is to provide Campuses a method that allows both centralized or decentralize processing of changes to students Job or hire new student employees. Currently, the modification does not include Workflow.

The documents listed below are supporting materials such as configuration guides, and functional specification associated with this modification. Based on the complexity of the modification, support materials will vary. Support materials are also posted on the CMS SharePoint documentation page for each application.

Hire a Student as Employee

Navigation: Workforce Administration > CSU Workforce Admin Processes > Student Processes

Students who are in the Campus Database are eligible to become Student Employees in HCM. Campuses have established a minimum number of hours in which student should be enrolled using the Student Defaults table by Jobcode. Code has been added to produce a warning message, but it will not prevent the user from completing the Hire. Code will also verify the Work Study Award.

Search Page

User will enter value in search page.

Search Page Options

  1. CHRS ID – This field searches Job in HCM.
    1. To search by CHRS ID on Student Hire page, employee must have a row in Job and PSOPERDEFN which is created when a Job is added in the Student mod or when a student/regular employee is hired manually.
    2. CHRS_ID can be used for search to add a Concurrent Job to an existing Student Employee.
  2. Campus ID, First/Last Name and National ID – All these fields search Campus Solutions database.
  3. If user receives an error when adding job to the new hire Student, the system will create an Unknown POI.
  4. Users cannot search for a POI with the CHRS_ID because the POI does not have a Job or a row in the xref table. Users can search by CS ID or Last/First Name to add the job. If the search does not show both the CS ID and CHRS ID, the Job will have to be added manually.
  5. The xref table contains Business Unit, CS ID and CHRS ID and is used to connect the HCM ID to the Campus Solutions ID. (CSU_CS_ID_XREF)
  6. If there is no DB Link from HCM to Campus Solutions for the Business Unit, the message below will display. This is a fix that will be CHRMP1.00

Search Results

  1. User will see the page above listing the students in Campus Solutions that are eligible to enroll, the number of units they are enrolled in and if they are Graduate or Undergrad as per the criteria entered on the search page.
  2. More Info button pulls data from Campus Solutions such as address, email, gender, marital status, etc.
    1. (CHRMP1.00 – currently does not populate but will be fixed in the MP).
    2. Change Orders CHRS0001404 is open to hide gender, marital status and to make all personal data fields pushed from Campus Solution display only.
  3. Enrolled hours that are displayed are pulled from Campus Solutions. Process reads STDNT_CAR_TERM table in Campus Solutions to determine if eligible to enroll flag is checked and the number of units, the student is enrolled in for current term.
    1. If hours/units are below the minimum in Student Defaults for Campus/Jobcode
    2. User will receive an error Message, but it WILL NOT stop the Hire.
  4. There is also a hard error with Work Study Job Codes which reads PS_STDNT_AWARDS in Campus Solutions. A Fix to the Code is in CHRMP1.00 as outlined below:
    1. The process uses the effective date on job to find the aid year.
      1. SELECT AID_YEAR FROM PS_FED_AID_YR_TBL@" | %This.dblink | " WHERE %DateIn (:1) Between Start_date and End_Date", &effdt, &aidYear).
      2. Once it has the correct TERM, it gets the amount of aid. 
      3. Work study edit has been updated to use the code we received from Campus representatives. (Will be in CHRMP1.00 after going live)
      4. Code joins PS_STDNT_AWARDS record to PS_ITEM_TYPE_FA.
      5. It confirms Accept_Amount – Disbursed Amt > zero on STDNT_AWARDS record for the aid year and current effective date.

User selects a Student to Hire from the results page and they are taken to the Student Job Summary page.

Student Job Summary Page

  1. User will see the page above. Note there is only a CS ID displayed because the student has not been hired into HCM.
  2. If the student already existed as an employee in HCM, the CHRS ID would display as would the Student Current Job.
  3. When a Job is added with a Future Hire Date, it will display in the student “Future Job” section.
  4. User selects ADD STUDENT JOB and is taken to the page below.
  1. Select Add Person to have an Emplid assigned to the Person Data.
    1. On Hire – code adds row to CSU_CS_ID_XREF which is a crosswalk of Emplid in Campus Solutions to Emplid in HCM. The xref is maintained by Business Unit in the Student Mod process.
    2. Must Add person prior to Job Data to get an Emplid then add Job.
    3. Birthdate, Ethnicity and SSN fields have been hidden.
    4. Change Order CHRS0001404 is open to hide gender, marital status and to make all personal data fields pushed from Campus Solution display only.
  2. Once the “Add a Person” button has been clicked the user will see the Job page and a CHRS ID will be created.
  3. NOTE: Once “Add a Person” is selected and is successful, no updates can be made in Student Personal Information section of the Student Hire page.  The user will have to make updates in HCM Biographical Data (personal data) manually.
  4. User completes the values in the Student Job area of the page.

Error Message will display here if Student is not enrolled or not enrolled in the number of units on the Student Defaults Table

  1. If user receives error while saving Job, an unknown POI is created with no Job. Job may be added via Student Hire. User can search using Campus Solutions ID or Last/First Name. User cannot search using CHRS ID. User must confirm they can see a CS ID and a CHRS ID.
  2. If adding a Concurrent Job, user can search by CHRS ID.
  3. Salary Plan/Grade and Hourly Rate fields format issues are fixed in CHRMP1.00
  4. When user selects Position Search, it will only display positions for the business unit that have the Jobcode set up in Student Defaults table
  5. Page Edits are
    1. Expected End Date cannot be less than the Effective Date
    2. Message if Future Dated Rows exists.
    3. Work Study Award – Accepted Amount – Disbursed Amount > 0
    4. Enrolled with eligible hours (error message but can hire anyway)
    5. Compensation not < or > min and max on Salary Plan/Grade
    6. Report to is display only.

Job Changes

Search page for Job Changes

  1. Can search for an hourly rate (minimum wage) and/or expected end date.
  2. Can use multiple Jobcodes in one search.
  3. Can use As of Date in search but it is not required.
  4. Eligible versus Ineligible Search
    1. Same logic is used as is in Hire page.
    2. Displays enrolled hours/units and compares to the minimum number of hours/units for either Grad or Undergrad that is setup on Student Default page by Jobcode.
    3. A warning will be issued if the student is not enrolled in the minimum number of hours.
    4. Career must be mapped to either Grad or Undergrad.
    5. Student Defaults with Eligible to enroll/hours/career are selected from PS_STDNT_CAR_TERM.
  5. Results Lists Active Employees only.
  6. Transactions may be performed for an individual or multiple by selecting the checkbox beside the Emplid.
  7. Results will only show employees with a position that has a student jobcode (Jobcodes that are set up in Student Defaults table).
  8. When changing values that do not mirror values on Position, the Position Override will need to be checked. NOTE overriding positions is permitted without discussion with HR.
  9. Reports to and FTE/Std Hours should be updated on the Position.
  10. Reports to name and position does not display when changing a position number (fixed in CHRMP1.00
  11. Select the Error Page button, to be taken to the page listing all transactions processed by a user and their processing status (submitted, approved, error). User can search by type of transaction, process status, chrs id, and operid.
    1. There is a current ticket to fix issues with search fields on the Transaction Status page.
      1. Allow advanced search by name in operid field and add dept security. This field should only display Operids of users who have process transactions.
      2. Chrs Id field is duplicating Emplid if more than one Empl Rcd. Should also show only ids of employees who have had transactions processed. Add Dept Security).
    2. These 2 fixes are in CHRMP1.00.
  12. Edits/Messages for the Job Change Page
    1. Expected End Date cannot be less than the Effective Date
    2. Message if Future Dated Rows exists in the system.
    3. Message if hourly rate is under/over the min/max in the Salary Grade
    4. Work Study Award - Work Study warning is a hard error.
    5. Enrolled with eligible hours – can hire anyway (not checking academic status either)
    6. Reports to is display only

Individual or Mass Transactions

  1. Mass Transactions (Multiple Students) will have the same Transaction ID.
  2. Mass transactions details are entered into fields in the Mass Update Defaults section of the page.
    1. Mass transactions require entry of effdt, action, action reason, expected end date and if changing pay for multiple students, can also enter a new hourly rate.
    2. After Defaults are entered, select “Copy Defaults to Selected” button and the default values entered will be copied down to the students selected using the checkbox beside the Emplid.

Rehires

Navigation: Workforce Administration > CSU Workforce Admin Processes > Student Processes

  1. Search page only selects inactive employees
  2. Termed on or After Date is required and is used to determine how far back the process can go to look for inactive employees that fit the criteria entered.
    1. CHRMP1.00 fix making Termed on or After field on Student Rehire required by adding an asterisk. Message also fixed to say Termed on or After instead of As of Date
  3. Reports to name and position does not display when changing a position number (fixed in CHRMP1.00
  4. Eligible versus Ineligible warning– Can rehire anyway.
  5. Individual or Mass – use copy down values boxes for Mass
  6. Will issue a Work Study warning
  7. Message if hourly rate is under/over the min/max in the Salary Grade

Terminations/Retire

Navigation: Workforce Administration > CSU Workforce Admin Processes > Student Processes

  1. Individual or Mass
  2. Eligible/Ineligible and Work Study not a factor in terminations
  3. Mass Defaults can be copied down.

Transaction Status/Error Page

Navigation: Workforce Administration > CSU Workforce Admin Processes > Student Processes

  1. Search for transactions in various process states (processed, submitted, error)
  2. Can search by transaction type (hire, term, rehire, job change)
  3. Can search by Operid.

Set up Tables

Navigation: Set up HCM > > CSU Product Related Processes > Student Set up Tables

All Setup Tables have a high-level key of Business Unit

Action/Action Reason

Campuses can decide what actions/action reasons they want to be processed through Student Mod.

Student Default Fields by Business Unit and Jobcode

  1. Prompts for Positions, Employees will only select those with a Jobcode setup for that BU in the Defaults page above.
  2. The defaults listed on this page for the specific job code/business unit, will be inserted into Job when the transaction is submitted.
  3. Student Defaults also has Eligible to enroll/hours/career with values pulled from PS_STDNT_CAR_TERM in Campus Solutions.
  4. Program reads the eligible to enroll flag and the number of units enrolled.

Student Auto Term Program

The Run Control Parameters

Run Control Parameters must be entered by Campus. Below is an explanation of how the system uses the numbers in each parameter field.

# of Days Since Time Entry – The number of days since an active student has entered time or been paid. These are not new hires. They are active, existing employees.

For Example: EE hired 12/01/2020 and reported time until 12/31/2020.

90 days in the field on the run control above and the run date is 4/28/21

Calculation is DUR (T&L) greater than 4/28/21 – 90 days = 1/28/21

The student will be selected if they did not entered time after 1/28/21

# of Days Since HIR/REH – Enter the number of days the program should use to look at employees that have been Hired or Rehired and have not reported time and have not been paid.

For Example: EE hired 2/1/21 and has never reported time.

60 days entered on run control and the run date is 4/28/21.

Calculation is Hire Date less than 4/28/21 – 60 days = 2/28/21

The employee will be selected when the program is run

Action Reasons Used

If time is entered after the Hire Date, the Action Reason will be END

If time has not been entered after the Hire Date, the Action Reason will be CNL

Effective Date Used

Reads current row on Job

If the Expected End Date + 1 is less than the Effective Date on the current row in Job use system date other wise use the Expected End Date +1

Job EFFDT = 4/1/21 and Expected End Date = 12/31/20

EFFDT = 4/28/21 (System Date)

Job Effdt = 1/1/21 and Expected End Date = 5/31/21

EFFDT = 6/1/21

CHRMP1.00 fixes

Add ability to search by Last/First name under the OPERIDs field and add Department Security to Operid on Transaction Status page.

Fix repeat of Emplid if more than one Empl_Rcd and add Department Security to the CHRS ID field on Transaction Status page.

When position number is changed on Job Change or Rehire page, the reports to Emplid and name do not change.

Termed on or After field on Student Rehire page is made required and is noted by adding an asterisk.

  1. Message also fixed to say Termed on or After instead of As of Date
  2. Populate the fields under the More Info button on the search results page for student hire.
  3. Revise the code for the work study edit as per Financial Aid representative.
  4. Format issues on Student Hire Job section.
  5. Message will be generated when there is no db link between HCM and Campus Solutions.
  6. Sticky Search not resetting on Student Hire page when searching for a different student.
